You can check out our Guide for Candidates here to learn more about our work. Overview We're hiring an AI Operator to multiply team effectiveness across Bastion through intelligent use of AI tools and automation. You'll likely start with go-to-market as your first internal client—partnering with sales, product marketing, and product teams to identify friction points and orchestrate AI-powered solutions that give them unfair advantages. As you prove the model, you'll expand to support compliance, engineering, talent, and other teams company-wide. You'll use tools like Claude Code, Zapier, Make, AI APIs, and whatever your imagination can dream up to build workflows and automation. The core of the job will be identifying which problems are worth solving, designing solutions that actually get adopted, and moving fast while exercising excellent judgment in a regulated environment. That last point is critical: Bastion is a regulated financial entity. We handle customer data, financial information, and sensitive business intelligence. You'll need to move quickly—shipping automation in days, not weeks—but never be loose with customer information, privacy, or security. Strong judgment about what's safe to automate and what requires human oversight is non-negotiable. You'll report to Drew Majkut, our Head of Talent, and work cross-functionally from day one. Success looks like other teams asking "can you help us too?", and Bastion operating with the velocity and intelligence of a much larger company because of the AI infrastructure you've orchestrated. This role is based in New York City in a hybrid work environment. Work to Be Done Instead of a list of requirements, we want to give you a directional look into the first 30, 90, and 180 days on the job. We will co-create your actual responsibilities and expectations together. We are a startup, so the pace is fast and the specific work will change. People who thrive here are finding ways to contribute in their first week, and fully productive in their third month. You need to be okay with that. If you think this is something you can handle, we will be excited to speak with you. First 30 days: Ship your first automation while learning what matters Shadow GTM team workflows (sales calls, prospect research, deal preparation) to identify the top 3 friction points you can eliminate—not just to observe, but to ship improvements Build and deploy your first AI-powered workflow that the team actively uses—whether that's intelligent prospect research using Claude Code, automated personalized outreach, or deal insight capture Map Bastion's current tool landscape and identify where information gets lost, duplicated, or requires manual handoffs that could be automated Learn Bastion's compliance and security boundaries —understand what data can be processed by AI tools, what requires human review, and where privacy lines are drawn Partner with 2-3 team members across different functions to understand their workflows and where AI could create leverage—building credibility as someone who ships fast and understands their reality Outcomes One shipped automation that the GTM team credits with saving time or improving quality Clear understanding of compliance boundaries and security requirements for AI automation at Bastion A prioritized opportunity map showing where AI operations can create the most impact across teams By 90 days: Own AI operations for GTM and expand to second function Build sophisticated AI workflows for the GTM motion using Claude Code, automation platforms, and AI APIs—automated prospect research that surfaces relevant insights, personalized outreach systems, competitive intelligence tracking, or deal preparation assistants Establish your operating toolkit and judgment framework—your preferred platforms, automation patterns, and decision rubrics for what's safe to automate vs. what requires human review in a regulated environment Partner with a second team (product, engineering, or talent) to build automation for their highest-leverage workflows—proving the model works beyond GTM and that you can understand different team needs Create documentation so your automations are maintainable—other team members can understand how workflows work, when to use them, and how to request changes without everything depending on you Design feedback loops that capture what's working and what's not—usage metrics, stakeholder input, and outcome tracking that inform continuous improvement and help you prioritize ruthlessly Outcomes GTM team operates measurably faster due to your AI workflows—whether that's 30% time savings on manual tasks, faster response times, or improved conversion rates At least one other team is using automation you orchestrated and sees clear value You've established patterns and frameworks that make the 5th automation faster to build than the 1st, and you're known for moving fast without creating compliance risk By 180 days: Scale AI operations across the company with compounding impact Expand AI operations to 3+ teams with custom automations tailored to their workflows—you're known company-wide as the person who orchestrates AI solutions that multiply team effectiveness Build workflows that create compounding advantages—knowledge systems that get smarter with use, automations that learn from patterns, intelligence layers that surface insights proactively rather than just responding to queries Establish the AI operations function's operating model—how teams request automation, how you prioritize ruthlessly, how you measure impact, and how you ensure quality and security in a regulated environment Partner with engineering and compliance to integrate AI capabilities into appropriate areas—internal tooling insights that could benefit the product, and compliance frameworks that enable safe automation at scale Mentor others in AI-first thinking and empower teams to leverage AI tools effectively in their work—you're not just building workflows, but changing how Bastion operates and making the company more intelligent Outcomes Multiple teams explicitly credit AI operations with enabling them to punch above their weight Clear ROI story on AI operations investment—measurable impact on team velocity, quality, or business outcomes that justifies scaling the function Other teams proactively seeking your partnership on hard problems, and you're seen as a strategic capability, not just a service provider Some challenges you might tackle Orchestrating an AI-powered prospect research system that automatically surfaces relevant insights about potential partners—their technology initiatives, decision-maker backgrounds, recent regulatory filings, and competitive positioning—so sales reps walk into every conversation with asymmetric information while respecting privacy boundaries Creating a company-wide knowledge intelligence layer using Notion AI, Claude, and automation platforms that captures insights from customer conversations, deal outcomes, and market intelligence—making institutional knowledge searchable and actionable rather than trapped in people's heads or scattered across tools Building AI-powered content generation workflows for product marketing—automated creation of customized pitch materials, competitive battle cards, or prospect-specific one-pagers using Claude Code and templates, while maintaining quality control and ensuring no confidential information leaks Developing smart workflow automation for internal operations—tools that help with project planning, meeting prep, decision documentation, or cross-functional coordination by understanding context from Slack, Notion, and email, then suggesting next actions or surfacing relevant information proactively Exercising judgment on automation boundaries in a regulated environment—knowing when AI can handle a workflow end-to-end vs. when it should assist humans, where customer data can be processed, and how to build fail-safes that prevent compliance violations even as you move fast
