About The Position

As the Agency Operations Manager, you'll be the operational backbone of the revenue organization — connecting Sales, CSM, Tech, and Finance to ensure a smooth, predictable, and scalable operation across the entire client lifecycle. You'll lead internal processes, systems, and cross-department workflows that impact onboarding, campaign execution, performance reporting, renewals, and upsells. You'll tighten accountability, eliminate inefficiencies, and build the frameworks that enable our teams to operate with clarity and consistency. This is a highly cross-functional role where you'll translate business goals into scalable processes, ensure operational discipline, create reporting visibility, and help build the infrastructure needed for Herb's next stage of growth.

Requirements

  • 4-6+ years in Operations, Revenue Operations, Project Management, or Agency Ops (required)
  • Experience building systems and workflows for a digital marketing agency or SaaS environment
  • Strong familiarity with CRM platforms (HubSpot required), project management tools (ClickUp), and analytics/data workflows
  • Proven track record of improving operational efficiency, building processes, and supporting revenue teams
  • Experience coordinating across Sales, CSM, Creative, and Tech teams
  • Ability to translate business goals into scalable workflows and documentation
  • Comfort working with data — forecasting, dashboards, reporting, and troubleshooting
  • A systems thinker who loves taking chaos and turning it into clarity and structure
  • Highly organized with a strong bias toward process, documentation, and operational discipline
  • Collaborative — able to partner across Sales, CSM, Leadership, Product, and Finance
  • Data-driven decision-maker who understands how metrics translate into business outcomes

Responsibilities

  • Own the end-to-end revenue operations workflow across Sales → SDR → AE → CSM → Execution
  • Build, document, and optimize repeatable processes for sales operations, client onboarding, campaign QA, reporting, and renewals
  • Ensure every team has clarity on responsibilities, handoff points, and timelines
  • Lead project management across revenue teams (Sales, CSM, Design, Tech, Content) for smooth coordination and delivery
  • Own HubSpot architecture, deal stages, automations, pipelines, and lifecycle management
  • Build dashboards that create visibility into performance, forecasting, renewals, and at-risk accounts
  • Improve data hygiene and ensure clean reporting across SDR, AE, and CSM teams
  • Partner with Sales to improve qualification frameworks, proposal structure, and handoff consistency
  • Collaborate with CSMs on client health scoring, churn risk frameworks, and renewal workflows
  • Support leadership with weekly, monthly, and quarterly revenue performance insights
  • Manage capacity planning for CSMs, designers, content, and dev resources
  • Maintain forecast models and align cross-team prioritization
  • Identify operational bottlenecks and propose solutions that improve efficiency and client outcomes
  • Drive alignment across Sales, CSM, Product, Marketing, and Finance
  • Ensure accurate billing inputs, product usage tracking, and alignment with Finance
  • Support special projects, including product rollouts, pricing strategies, and internal tooling improvements
