The Agency Integration Manager project manages the integration of newly acquired partner agencies into the Tropolis Operating Model and core platform workflows. This role drives the end-to-end integration plan across all functional workstreams, translating diligence findings into structured execution from close through stabilization.

Requirements

  • 4-6 years insurance agency experience, including familiarity with independent agency operations and commercial brokerage workflows
  • Proven project or program management experience leading multi workstream initiatives with cross-functional stakeholders
  • Strong communication and facilitation skills, including executive level status updates and risk escalation
  • Comfortable operating in a fast paced, acquisition driven environment with multiple concurrent timelines

Responsibilities

  • Develop the integration project plan leveraging findings from operational diligence of new partner agency acquisitions
  • Ensure seamless transition from diligence to post-close execution
  • Own the integration project plan for each new agency from close through stabilization, including milestones, owners, dependencies, risks, and decision logs
  • Stand-up and run the integration governance rhythm, including weekly workstream check-ins, status reporting, and executive updates
  • Drive clarity on scope, sequencing, and resource needs across workstreams, escalating tradeoffs and risks to Agency Success leadership and cross-functional teams
  • Define and track integration success metrics, including timeline adherence, operational stability, system adoption, and client impact indicators
  • Own the ongoing optimization of integration playbooks, templates, and governance processes to increase speed, consistency, and scalability across acquisitions
  • Lead cross-functional execution with marketing and sales leadership to coordinate the agency transition to the Tropolis CRM platform
  • Ensure CRM transition readiness, including data preparation, training coordination, cutover sequencing, adoption milestones, and issue resolution
  • Ensure dependencies between the CRM transition and other workstreams are identified and managed, including customer communications and reporting
  • Drive cross-functional alignment with finance and accounting leadership to coordinate financial integration activities and timelines
  • Oversee banking transition readiness, including access, approvals, signatory updates, and operational controls
  • Track month end readiness milestones, reporting requirements, and control related dependencies, escalating risks as needed
  • Ensure workforce transition readiness in collaboration with HR and agency leadership to coordinate onboarding and workforce transitions into Tropolis processes
  • Ensure structured onboarding execution, including technology access, training schedules, policy rollout, and change management communications
  • Coordinate across functions to ensure role readiness and minimal disruption to service delivery
  • Partner with IT, data, and operations leaders to manage agency technology and data integration milestones
  • Coordinate data and reporting readiness, including definitions, data quality checkpoints, and dashboard or reporting cutovers
  • Manage AMS migration project plans, including requirements, data readiness, training coordination, cutover planning, and go live support
  • Identify and manage integration risks that could impact client experience, retention, or operational stability
  • Partner with marketing leadership and agency leadership to coordinate brand transition plans and customer communication sequencing
  • Manage timelines for external communications that may be triggered by operational, carrier, system, or brand changes
  • Ensure communications plans align with integration sequencing to reduce client disruption
  • Partner with carrier and operations stakeholders to coordinate carrier code alignment and related operational changes
  • Track dependencies and timelines that impact servicing, renewals, billing, and reporting
  • Ensure changes are sequenced to protect client retention and service levels
  • Partner with the Agency Success team and agency leadership to translate the go forward growth plan into integration enablers and timelines
  • Track delivery of integration commitments that unlock growth, including readiness of systems, processes, reporting, and enablement
