About The Position

The Aesthetic Scheduler plays a key role in the daily operations of the aesthetic department by coordinating patient appointments, supporting treatment flow, and ensuring aesthetic equipment and inventory are well maintained. This position blends patient-facing service with behind-the-scenes operational support to deliver a seamless, high-quality patient experience.

Requirements

  • High school diploma or equivalent required; healthcare or medical office experience preferred
  • Previous experience in dermatology, med spa, or aesthetic practice strongly preferred
  • Familiarity with EMR and scheduling systems
  • Strong organizational skills and attention to detail
  • Excellent customer service and communication skills

Responsibilities

  • Schedule and confirm aesthetic services including consultations, procedures, and follow-up appointments
  • Ensure appropriate appointment lengths, provider pairing, and room/equipment availability
  • Communicate pre- and post-treatment instructions to patients
  • Manage cancellations, rescheduling, waitlists, and provider availability efficiently
  • Serve as a knowledgeable point of contact for aesthetic services and pricing
  • Maintain aesthetic equipment by coordinating routine maintenance, calibration, and service requests
  • Ensure treatment rooms are properly stocked, clean, and prepared for daily schedules
  • Monitor equipment readiness to support uninterrupted patient care
  • Report equipment issues promptly and assist with troubleshooting
  • Track, manage, and restock aesthetic products, injectables, skincare, and supplies
  • Conduct regular inventory counts and reconcile usage
  • Place product orders and coordinate with vendors as needed
