About The Position

The Aesthetic Scheduler plays a key role in the daily operations of the aesthetic department by coordinating patient appointments, supporting treatment flow, and ensuring aesthetic equipment and inventory are well maintained. This position blends patient-facing service with behind-the-scenes operational support to deliver a seamless, high-quality patient experience.

Requirements

High school diploma or equivalent required; healthcare or medical office experience preferred
Previous experience in dermatology, med spa, or aesthetic practice strongly preferred
Familiarity with EMR and scheduling systems
Strong organizational skills and attention to detail
Excellent customer service and communication skills

Responsibilities

Schedule and confirm aesthetic services including consultations, procedures, and follow-up appointments
Ensure appropriate appointment lengths, provider pairing, and room/equipment availability
Communicate pre- and post-treatment instructions to patients
Manage cancellations, rescheduling, waitlists, and provider availability efficiently
Serve as a knowledgeable point of contact for aesthetic services and pricing
Maintain aesthetic equipment by coordinating routine maintenance, calibration, and service requests
Ensure treatment rooms are properly stocked, clean, and prepared for daily schedules
Monitor equipment readiness to support uninterrupted patient care
Report equipment issues promptly and assist with troubleshooting
Track, manage, and restock aesthetic products, injectables, skincare, and supplies
Conduct regular inventory counts and reconcile usage
Place product orders and coordinate with vendors as needed
