About The Position

As the Advisory Service Associate within the Indianapolis-based HUB Retirement & Private Wealth (RPW) Midwest-East region, you will play a critical role in supporting our internal teams to deliver exceptional service to wealth management clients. In this position, you will serve as a key point of contact, interacting with clients, advisors, consultants, and other partners to provide client-centric, solutions-oriented support. Follow-up and follow-through are the cornerstones of keeping our promises to our clients — and this role is built around that commitment. You will have the opportunity to collaborate across all functions within our regional RPW office, gaining broad exposure to wealth management and financial planning while directly contributing to an outstanding client experience.

Requirements

  • 1+ years of business or experience
  • Bachelor's degree or equivalent
  • Must be detailed oriented
  • Computer Software: Excel - Enter, manipulate, and format text and numerical data; insert, delete, and manipulate cells, rows, and columns; and create and save worksheets, charts, and graphs
  • Word - Type text, insert pictures, format, edit, print, save, and retrieve word processing documents.
  • PowerPoint - Create presentations, format templates, add pictures, videos and hyperlinks
  • Adobe - Create and edit pdf documents
  • Outlook - Manage calendar, task, email, etc.

Responsibilities

  • Assist with personal wealth client reviews, including preparation of meeting materials, account summaries, and performance reports
  • Assist with investment analytics, reporting, and portfolio analysis to support advisory recommendations
  • Assist in annual compliance reporting processes and ensure adherence to regulatory requirements
  • Prepare, review, and process required documents to ensure all account activities are executed accurately, including necessary research, follow-through, and resolution of outstanding items
  • Attend client meetings as needed, capturing action items and coordinating post-meeting follow-up
  • Manage correspondence, appointment scheduling, confirmations, and ongoing client communication in a timely and professional manner
  • Maintain and update client records in CRM and financial planning systems to ensure data integrity
  • Operate and maintain proficiency across internal tools, software platforms, and multiple recordkeeping systems
  • Effectively manage all tasks, deadlines, and workflows associated with client service responsibilities
  • Stay current on financial services industry trends, regulatory changes, products, and available resources
  • Support the onboarding process for new client accounts, including document collection, account setup, and welcome communications
  • Cross-train with peers and provide backup support and coverage across retirement plan education and wealth management functions
  • Assist with reporting, data collection, and analysis to support team and business objectives
  • Document internal processes and procedures to promote consistency and operational efficiency
  • Identify and communicate opportunities for process improvement and operational development
  • Coordinate with internal departments, including retirement plan services, insurance, and tax planning, to deliver comprehensive client solutions
  • Provide miscellaneous administrative and operational support as needed to retirement plan education and walth teams
