About The Position

The Adventure Operations Coordinator possesses a positive, professional disposition to support the Arc after-school sites in our experiential, outdoor education division. The Adventure Operations Coordinator is solutions-oriented and helps keep operations on track to achieve organizational goals. This involves working directly to lead student youth in activities and encouraging their engagement, as well as handling logistics of our events, including working with clients, packing for trips, maintaining equipment, maintaining vehicles, scouting locations, and handling administrative duties related to the department.

Requirements

  • Optimally, 3-5 years of experience working in outdoor education or related field.
  • Excellent organizational and supervisorial skills.
  • Ability to manage and coordinate multiple projects and deadlines.
  • Excellent interpersonal and communication skills, especially with youth.
  • Official / unofficial college transcripts that confirms 48+ completed college credits or passing score on academic proficiency exam
  • Negative TB test result
  • Pass Live Scan background check
  • Current CPR certification for adult, child, and infant

  • Bilingual (Spanish) is a plus

Responsibilities

  • Plan and support all aspects of programs, including location scouting, permit purchases, packing lists, gear prep, and lesson planning. When needed, develop custom programs tailored to client needs and budgets.
  • Plan and coordinate overnight and multi-day camping trips, including communication with parents and school staff, managing reservations, and prepping supplies. Under the direction of Adventure manager, serve as leadership staff on these trips.
  • Oversee the Adventure program calendar, maintain updated program bookings, and coordinate vehicles, trailers, and gear needs.
  • Coordinate staffing for all Adventure programs, including scheduling, managing call-outs, and ensuring staff certifications are current.
  • Act as the primary point of contact for Adventure Guides; provide mentorship and coaching. Directly manage guide timecards and performance management.
  • Communicate urgent or last-minute changes to staff and clients in a timely, professional manner.
  • Serve as on-call coordinator on a rotating basis, including potential deployment to active programs.
  • Work with guides to manage inventory, gear organization, and equipment maintenance, including trailers and vehicles.
  • Be responsible for using company credit cards to support programming needs; provide all documentation as required by Accounting & Finance.
  • Monitor program quality via feedback forms, check-ins, and site visits.
  • Plan, organize and lead regular field training and team meetings as scheduled.
  • Attend regular department meetings and provide operational updates to leadership.
  • Contribute to department policy development and implementation.
  • Develop and maintain clear documentation, including program overviews and how-to guides for staff.
  • Earn and maintain required certifications and participate in ongoing professional development.
  • Complete the internal towing clearance process and provide training to other staff. Serve as the lead tower for programs as needed
  • Build and maintain strong relationships with clients, school staff, and internal teams.
  • Uphold and model Arc’s values, policies, and procedures.
  • Perform other duties as assigned.
