UW Libraries has an exciting opening for an Advancement Coordinator ( Program Coordinator) . This is a union-contracted, part-time (0.5 FTE), permanent position. Reporting to the Assistant Dean for Advancement, the Advancement Coordinator provides organizational support for fundraising initiatives at UW Libraries. The Advancement Coordinator works in collaboration with internal and external audiences including the dean, faculty, UW Libraries and Press staff, and other UW Advancement colleagues. They support the mission and values of UW Libraries while cultivating strong relationships with current and potential donors and the community.

Requirements

  • High school graduation or equivalent AND at least two years of experience in donor relations, marketing/communications, or Advancement.
  • Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

  • Demonstrated strong computer skills, including proficiency with Microsoft Word, Excel and PowerPoint.
  • Strong interpersonal skills and customer service.
  • Ability to work independently, problem solve, take initiative, set priorities and handle multiple projects efficiently and effectively.
  • Ability to lift 20 pounds regularly and up to 40 pounds occasionally for event setup and tear down.
  • During Events (from setup to tear down) or on event days: Ability to stand 4 or more hours continuously. Ability to walk 4 or more hours continuously.
  • Ability Standing: duration of 4+ hours for events
  • Ability to work greater than a 10 hour day

Responsibilities

  • Participate in the planning and implementation of UW Libraries Advancement program and goals, including annual gifts, major gifts, volunteer engagement, marketing and communications, events and stewardship.
  • Provide meeting and calendar support, including preparing materials and agendas.
  • Arrange travel and reservations for Advancement team members.
  • Support Advancement team fiscal operations in partnership with the Assistant Dean, including budget tracking, expenditure coding and expense reimbursement processing.
  • Prepare and analyze ad-hoc reports for the Advancement team.
  • Provide other general administrative support for the Advancement team and lead projects assigned by the Assistant Dean.
  • Oversee donor acknowledgment, including drafting letters and coordinating follow-up outreach from the dean and Advancement team.
  • Liaise with academic and administrative directors on gifts within their areas.
  • Process incoming gifts according to UW procedures; produce thank you letters and gift summary reports and monitor any outstanding gift pledges.
  • Oversee the end-to-end preparation of reports and student scholarship letters by coordinating data entry, ensuring accuracy through thorough editing and delivering finalized copies.
  • Collaborate with stakeholders to write, edit and assist in preparation of funding proposals, donor correspondence, donor impact reports and other projects as needed.
  • Support regular stewardship activities, including holiday cards and donor recognition for special occasions.
  • Work with Philanthropic Recognition Programs to coordinate stewardship efforts and serve as UW Libraries’ representative at Stewardship Network meetings.
