Watch to learn more Job Summary This position provides primary, hands-on leadership for campus Cal State Apply functionality, overseeing the configuration, annual cycle setup, testing, troubleshooting, and ongoing maintenance of all Cal State Apply processes and integrations. The role also provides secondary support for key components of the CMS Admissions (AD) Module, including SLATE (CRM), decision processing, transcript workflows, and applicant self-service functions to ensure alignment between Cal State Apply and campus admissions operations. The incumbent applies advanced technical and functional expertise to translate business needs into system specifications, resolve system issues, and coordinate solutions with technical teams and the Chancellor’s Office. Furthermore, the incumbent provides services that are equitable, inclusive, and culturally sensitive to enhance the quality of campus life. This position uses a student-centered and equity-minded approach in all communication and service efforts.

Requirements

  • Equivalent to a bachelor's degree in Computer Science, Information Systems, Educational Technology, or related field and four years of related work experience required.
  • The ideal candidate maintains a safe and respectful work environment, communicates effectively and professionally with the University community, and demonstrates strong analytical and independent problem‑solving skills.
  • They possess thorough knowledge of online student information, imaging, admissions, and transcript systems, with proven ability to analyze user needs, translate them into detailed technical specifications, and design, implement, and maintain complex technical rules supporting business processes.
  • This candidate is adept at analyzing data requirements, researching data availability, and developing end‑user reports using reporting tools such as Crystal or Query.
  • They bring subject matter expertise in admissions and transcript software, apply academic and administrative policies accurately, and exercise sound judgment while working independently with minimal direction.
  • Additionally, they establish strong working relationships, coordinate workflows effectively, and lead, train, mentor, and collaborate successfully with both technical and non‑technical staff.
  • Ability to communicate with an ethnically and culturally diverse campus community.
  • Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.

Responsibilities

  • Serve as the primary campus lead for Cal State Apply functionality, including annual cycle setup, configuration, testing, troubleshooting, and coordination with the Chancellor’s Office, CSULB Leadership, Student Administration Systems, and Admissions units.
  • Update List Manager rules and Export and Report Manager setup as needed.
  • Coordinate related online functionality that depends on or interacts with Cal State Apply, including the PeopleSoft Admissions Module, and supplemental document workflows (e.g., CRM (Slate), Imaging System (OnBase), and other 3rd party systems as the need arises).
  • Perform manual search/match for applications that have errors in automated search/match and resolve any related application posting errors.
  • Ensures operational integrity and continuity by maintaining detailed descriptions of responsibilities, ranging from daily tasks to strategic activities and outcomes, and makes them available to supervisor.
  • Maintain regular updates to admissions systems documentation for overall system procedures to ensure knowledge sharing across teams.
  • Ensures quality, usability, and integrity, of system data by working within approved processes and testing procedures.
  • Carry out special assignments as directed by supervisor, Director, and/or AVP Enrollment Services
