About The Position

This position serves as the Records Clerk for the Harrison County campus and is responsible for assisting the Director of Admissions and Records with all aspects of admissions and records functions. The incumbent, with support from other staff members, performs all necessary administrative duties and responsibilities associated with the role.

Requirements

  • Minimum of an Associate's Degree in Business and Office Technology or a related field from a regionally accredited institution of higher learning.
  • Minimum of three (3) years of work experience in an office setting.
  • Experience maintaining student records and knowledge of FERPA guidelines.
  • Experience with Banner or other administrative software.
  • Proficiency in the use of personal computers and Microsoft Office.
  • Excellent organizational and communication skills.

Nice To Haves

  • Bachelor's degree from a regionally accredited institution of higher learning.
  • Experience in transcript review and processing.
  • Experience working in an Office of Admissions & Records or another Student Services area in a postsecondary setting.
  • Experience with Perceptive Content or other document imaging software.
  • Supervisory experience.

Responsibilities

  • Maintain student permanent record files for currently enrolled students and previously enrolled students (i.e. historical student files).
  • Monitor and assist with outgoing transcript requests via Parchment Transcript Services.
  • Assist with processing incoming transcripts (i.e. high school credentials, high school equivalencies, and college transcripts).
  • Scan and maintain documentation and records into Perceptive Content and make changes to student accounts in Banner.
  • Complete external records processing requests via National Student Clearinghouse (i.e. enrollment and degree verifications).
  • Perform basic registrar functions as needed (i.e. student withdrawals, area of interest changes, honors designation, and degree preparation).
  • Assist the Articulation & Credentials Specialist in entering graduation data as appropriate.
  • Assist the Articulation & Credentials Specialist and Director of Admissions and Records with all aspects of graduation preparation and ceremony logistics.
  • Assist the Director of Admissions and Records in all aspects of the enrollment and admissions audit.
  • Prepare student files for the enrollment audit by verifying that all admissions requirements are met and ensuring folders are available electronically.
  • Review and manage the non-compliant student list, ensuring timely communication with students regarding outstanding requirements or needed items.
  • Evaluate and verify student residency documentation, processing any necessary residency status or fee adjustments in Banner.
  • Be an effective member of the Student Services team by maintaining positive working relationships with campus personnel, students, and the community.
  • Maintain working knowledge and practices to ensure adherence to the Family Education Rights and Privacy Act (FERPA).
  • Participate in planning and execution of all events led by the Admissions Office (e.g., orientation, preview days, graduation).
  • Supervise student workers assigned to the Admissions and Records Office.
  • Participate in professional/staff development designed to enhance job skills.
  • Review and complete assigned daily reports timely and accurately.
  • Prepare professional reports and memos, as assigned.
  • Stay abreast of and adhere to College and campus policies and procedures.
  • Assist in the general office functions, sharing duties with other staff personnel.
  • Perform other duties as assigned by the Director of Admissions and Records and/or the Dean of Student Services and Enrollment Management.
