About The Position

The Admissions Specialist provides excellent customer service, screening and assessment scheduling to individuals seeking to enroll in services at CODA. The Admissions Specialist is involved all elements of admission, including patient engagement, preparing patients for scheduled appointments, providing assessments and obtaining financial eligibility. The Admissions Specialist works closely with Site Support and clinicians to create a welcoming experience and positive initial appointment for all patients.

Requirements

  • A minimum of 6 months’ experience in a similar or closely related role.
  • Has knowledge of and is able to effectively apply principles of Motivational Interviewing and customer service skills.
  • Ability to utilize both oral and written communications skills to effectively communicate with patients, co-workers, community resources, supervisors, and various other individuals.
  • Ability to maintain professional communications and boundaries while managing complex situations and interacting with individuals diagnosed with substance use or co-occurring conditions.
  • Ability to operate a computer, utilize basic MS Office programs, and effectively navigate and maintain patient records in an electronic medical records system.
  • There are no certifications or licenses required for this position.
  • Must be able to occasionally lift up to 10 lbs.
  • Must be able to reach, bend, and handle objects.
  • Must be able to sit for long periods.
  • Must be able to perform Basic Life Support for 15 minutes continuously and maintain BLS certification.
  • Consistent attendance and punctuality are required of this position.
  • A negative result on all pre-employment, reasonable basis, and post-accident drug screens.
  • An acceptable criminal record as determined by DHS, the Oregon Administrative Rules, and the Oregon Revised Statutes; and no current supervised parole or probation.

Responsibilities

  • Ensure all phone inquiries are responded to appropriately and directed to appropriate program or resource, including follow-up to ensure hand-off is completed.
  • Review treatment options with the patient that are appropriate for the patient’s needs and goals.
  • Master call center technology to answer inquiries regarding services and treatment options from the general public and community partners.
  • Conduct screening, collecting substance use history and other information required for eligibility screening; evaluating if all admission criteria have been met and assigning the appropriate setting for an assessment meeting to occur.
  • Quickly establish rapport with prospective patients, including management of crisis situations and assessing the patient’s readiness for treatment and change.
  • Schedule assessments within the Electronic Medical Records system,
  • Utilize skills (e.g. Motivational Interviewing) to increase likelihood that the patient will attend a scheduled appointment. Evaluate the risk for a no-show and apply interventional steps as appropriate to increase engagement.
  • Respond to any community partner inquiries or schedule requests with excellent customer service and professionalism.
  • Schedule new patient intake and assessment, capturing information required to schedule an assessment and verify insurance or other payment method and complete within 24 hours of contact.
  • Utilize online insurance verification systems to confirm insurance information is valid and accurate for patients prior to the date of their appointment.
  • Ensure patient electronic medical records are accurate and complete and that all services are recorded according to assigned procedures.
  • Participate in required or assigned trainings.
