About The Position

Serenity for Life is seeking a highly driven, operationally-minded Admissions Director to lead and elevate the full admissions function for our women's residential treatment program. This role goes well beyond traditional call handling-this is a leadership position responsible for owning the entire front-end revenue engine, from first inquiry through admission, census management, and ongoing pipeline optimization. The ideal candidate understands both the clinical nuance of working with complex female populations and the business discipline required to drive sustainable census growth. This individual will operate as a key partner to the CEO and leadership team, bringing structure, accountability, and insight to all aspects of admissions, outreach, and conversion.

Requirements

  • Demonstrated expertise in insurance verification and authorization, and the ability to work effectively with care and compassion with clients with varying mental health and/or substance abuse issues.
  • Proven track record of driving census growth and managing admissions pipelines
  • Highly analytical with the ability to translate data into actionable insights
  • Strong ability to talk through client and family insurance, payment, and perceived personal restrictions.

Responsibilities

  • Lead all inbound and outbound admissions activity, ensuring a high-touch, clinically informed experience for every prospective client and family
  • Oversee daily call center operations, including call handling, follow-up cadence, and conversion strategy
  • Implement and maintain best practices for call tracking, scripting, and quality assurance
  • Ensure all inquiries are responded to promptly and tracked through the full lifecycle
  • Own and manage the full admissions pipeline, from initial inquiry through admission and intake coordination
  • Maintain real-time visibility into census, bed availability, and projected admits/discharges
  • Develop and execute strategies to maintain target census levels (8–10 average, aligned with business goals)
  • Proactively re-engage warm leads and prior inquiries who have fallen off
  • Partner closely with Revenue Cycle Management (RCM) to ensure:
  • Insurance verification and authorizations are timely and accurate
  • Financial conversations are handled appropriately with families
  • Clean handoff from admissions to billing and clinical teams
  • Monitor key financial indicators tied to admissions performance
  • Provide consistent, data-driven reporting to the CEO and leadership team, including:
  • Call volume and conversion metrics
  • Lead sources and channel performance
  • Monthly census trends and forecasts
  • Admissions pipeline health
  • Identify trends, gaps, and opportunities, and make recommendations for improvement
  • Oversee alumni outreach efforts, including regular check-ins and relationship maintenance
  • Support long-term connection strategy aligned with Serenity's model (12–24 months of continued engagement)
  • Leverage alumni relationships to support referrals and brand reputation
  • Conduct targeted outreach to referring professionals, therapists, case managers, and partners
  • Support relationship development through follow-up, communication, and coordination with leadership
  • Act as an extension of the brand in all external communications
  • Own CRM utilization, ensuring clean data, accurate tracking, and reporting integrity
  • Build and refine admissions workflows, SOPs, and KPIs
  • Continuously improve conversion rates, response times, and overall admissions efficiency
  • Perform other duties as assigned
