About The Position

The Admissions Coordinator plays a vital role in managing the admissions process for a healthcare facility, ensuring prospective residents receive exceptional service and support. This position requires a blend of marketing skills, medical administration proficiency, and the ability to multitask effectively. The coordinator will maintain accurate records and facilitate communication among various stakeholders, including families, residents, insurances, and referring hospitals.

Requirements

  • Knowledge of medical benefits as a provider is required.
  • A minimum of 1 year experience in nursing home/LTC/SNF is a must.
  • Proven experience in an administrative role, preferably within a medical setting.
  • Strong sales skills with excellent customer service abilities.
  • Excellent clerical skills with attention to detail.
  • Ability to manage multiple tasks efficiently while maintaining a high level of organization.
  • Strong communication skills, both verbal and written, to effectively interact with prospective residents and team members.
  • A proactive approach to problem-solving and the ability to work independently as well as part of a team.

Responsibilities

  • Manage the intake operations, touring visitors, and answering inquiries regarding admissions processes.
  • Provide medical administrative support by processing referrals, reviewing clinicals, verifying benefits, requesting authorizations, completing admission paperwork, and maintaining resident files.
  • Utilize computer systems such as PointClickCare, Aiden, Aida, Epic, and Eaglesoft to manage admissions data and ensure accurate record-keeping.
  • Perform clerical duties including data entry tasks, filing/uploading documents, and organizing records.
  • Coordinate with various departments to facilitate a smooth admissions process for prospective residents.
  • Assist in scheduling admissions/transportation/MOT and conducting follow-up communications with case managers, insurance representatives, residents, and families.
  • Accurately track and report admissions and discharges via census, and daily, weekly, monthly reports identifying trends and fostering solutions to obstacles.
  • Build working relationships within the community and referral sources as a reliable, responsive, results-driven professional.
  • Market and advertise our facility through external visits and events.
  • Maintain confidentiality of resident information in accordance with privacy regulations.
