About The Position

United Aviate Academy (UAA) is seeking a dynamic and highly organized Admissions Coordinator to support the efficient management of student intake, placement, and administrative operations. The coordinator will be responsible for mastering the Modern Hire and Taleo portals to ensure students’ progress smoothly through the admissions pipeline, minimizing delays and addressing any obstacles that arise. The role requires proactive problem-solving, escalation of issues when necessary, and a commitment to delivering exceptional customer service. Successful candidates will possess strong communication, organizational, and multitasking skills to resolve challenges quickly and ensure a seamless student experience. Ultimately, the Admissions Coordinator will play a key role in maintaining the smooth and efficient daily operations of UAA's admissions process.

Requirements

  • 2-4 years’ experience as an operations coordinator or similar role
  • High school diploma/GED required.
  • Excellent communication and people management skills.
  • Excellent organizational and time management skills
  • Proficiency in Microsoft Office Suite
  • Ability to multitask, prioritize and work independently
  • Excellent phone etiquette
  • Ability to coordinate multiple schedules
  • Self-starter and highly organized with an aptitude for problem-solving
  • Neat, professional appearance
  • Strong knowledge of social media and demonstrated usage of tools such as LinkedIn
  • Ability to handle highly confidential information
  • Comfortable working in a fast-paced environment
  • Strong computer skills including strong knowledge of HRIS systems, experience with Modern Hire and Taleo is preferred
  • Attention to detail, while appropriately balancing accuracy and speed
  • Positive attitude, with a willingness to learn new responsibilities, adapt to change, collaborate as a team-player, and has a passion for continuous improvement
  • Strong verbal and written communication skills with the ability to present effectively to small and large groups

  • Prolonged periods of sitting at a desk.
  • Must be able to lift up to 15 pounds at times.
  • Proof of COVID vaccination is required for employment.

Nice To Haves

  • Bachelor's degree preferred.
  • Experience in office management or an administrative role.
  • Experience in the customer service field is a preferred
  • Strong computer skills including strong knowledge of HRIS systems, experience with Modern Hire and Taleo is preferred

Responsibilities

  • Oversee daily operations of the student intake process, ensuring students’ progress efficiently through the pipeline.
  • Coordinate student tasks, ensuring timely completion of required documentation and compliance with academy standards.
  • Track and monitor student progress, ensuring all required documentation is completed for enrollment.
  • Implement best practices for student intake and maintain accurate, up-to-date records.
  • Foster strong relationships with vendors and service providers to support student needs.
  • Manage supply inventory, ensuring necessary student supplies are stocked and ordered as needed.
  • Maintain master schedules for classes to ensure proper student attendance and class capacity.
  • Perform clerical tasks, including answering calls, responding to emails, and maintaining organized files.
  • Provide feedback from students, customers, and employees to management, offering recommendations for improvement.
  • Collaborate with team leaders and department heads to understand departmental goals and align operational strategies.
  • Ensure compliance with local, federal, industry, and company standards across all activities.
  • Identify, escalate, and resolve any issues in the student intake process to maintain operational efficiency.
