About The Position

Banyan Treatment Centers is seeking a hard-working and driven Admissions Coordinator to join our team. As the first point of contact for individuals seeking life-changing treatment, you will play a critical role in guiding patients and families through the admissions process with professionalism, empathy, and expertise—while keeping the pace, accuracy, and urgency that admissions demands. This is a fast-paced, high-energy role for someone who thrives under pressure, stays focused in a high-volume environment, and takes pride in getting the details right. The Admissions Coordinator plays a critical role in helping patients access care by conducting clinical pre-screening, verifying insurance benefits, completing documentation, and coordinating with internal teams to ensure timely and appropriate placement.

Requirements

  • High school diploma/GED or higher.
  • Previous experience in healthcare, customer service, admissions, or behavioral health.
  • Strong written and verbal communication skills with a high level of professionalism and attention to detail.
  • Ability to work effectively in a fast-paced, high-volume environment while maintaining accuracy.
  • Ability to remain calm and solutions-focused when supporting individuals and families during high-stress situations.
  • Ability to maintain confidentiality and follow all HIPAA and regulatory guidelines.

Nice To Haves

  • Familiarity with substance use treatment and/or recovery-based programming (including 12-step principles) is a plus.
  • Familiarity with Salesforce and/or Kipu EMR preferred.
  • Experience completing verification of benefits (VOB) to support timely and accurate treatment admissions is strongly preferred.

Responsibilities

  • Respond to inbound calls, chat inquiries, and emails from individuals seeking treatment.
  • Provide clear, supportive guidance regarding Banyan’s programs and the admissions process.
  • Maintain compassionate and professional communication when assisting individuals and families in urgent or emotional situations.
  • Conduct initial clinical pre-screening to help determine appropriate levels of care.
  • Gather accurate patient information and ensure all required details are documented.
  • Collaborate with admissions and clinical teams to support appropriate placement and a smooth intake experience.
  • Verify insurance benefits and review private pay options when needed.
  • Complete accurate data entry across multiple systems and platforms.
  • Maintain organized records and ensure required documentation is collected to support timely admissions.
  • Work collaboratively with internal departments to ensure seamless coordination and patient transitions into care.
  • Support a patient-first experience through attention to detail, follow-through, and clear communication.
  • Uphold confidentiality and adhere to HIPAA standards in all interactions and documentation.
