About The Position

West Gables Rehabilitation Hospital is a joint-venture partnership between Select Medical and West Gables Health. This hospital provides inpatient physical rehabilitation for patients who are medically complex and in need of a stay after suffering severe or traumatic injuries. As the Admissions Coordinator, you are one of the first faces our patients see when coming to our rehab hospital. The Admissions Coordinator is a key member of our admissions/business development team and keeps everything moving smoothly within the department. The position is full-time, on-site, with working hours from Sunday to Thursday, 9 am to 5:30 pm.

Requirements

  • High School Graduate or equivalent required.
  • A minimum of two years' experience performing a broad range of duties with an Admissions or Pre-Admissions Department required.

Nice To Haves

  • Knowledge of Medical terminology preferred.
  • Knowledge of insurance verification preferred.
  • Experience working with Excel and databases.
  • Previous experience within a physical rehabilitation setting preferred.

Responsibilities

  • Manage the referral intake and admission of all patients.
  • Stay in close communication with all departments to prepare for the day of admission.
  • Oversee the pull-through process for the hospital under the direction of the Director of Business Development.
  • Ensure that all deficiencies remain at 0% to eliminate holds, working with CBO and HIM to resolve any errors.
  • Ensure every referral is timely and accurately entered in Transitions of Care.
  • Process timely insurance verifications.
  • Assist in pre-cert/authorization process and track for follow up and timely processing.
  • Work with DBD, CEO, and other leaders to ensure timely admissions from time of referral.
  • Provide appropriate documents to Case Management team timely.
  • Enter patient data in HMS/MedHost when pre-admitting and enter details of patient’s benefits and billing instructions.
  • Complete admissions paperwork and review all patient forms/demographics with patient/responsible party.
  • Lead the morning meeting with census, budgeted numbers, etc.
  • Communicate admissions time, bed number, physician, etc. to the hospital when there is a confirmed admission.
  • Provide tours of the hospital.
  • Provide customer service by accurately answering questions for internal and external customers.
  • Manage LOA's in HMS/MedHost, ensuring accurate entries for all LOA patients.
  • Review and enter daily census via Select Portal by 11 am EST.
  • Perform other duties as assigned.
