About The Position

The Center at Waterfront is a premier [e.g., skilled nursing and rehabilitation facility / senior living community / healthcare center] dedicated to exceptional resident care. The Admission Coordinator Assistant provides vital administrative and clerical support to the Admission Coordinator, ensuring a smooth and welcoming admission process for prospective residents. This full-time role serves as a compassionate first point of contact.

Requirements

  • High School Diploma or equivalent required; Associate's Degree preferred
  • 1-2 years administrative support experience, preferably in healthcare, senior living, or customer service
  • Exceptional interpersonal and communication skills; friendly and compassionate demeanor
  • Strong organizational skills and attention to detail; ability to multitask
  • Proficiency in Microsoft Office Suite; comfortable learning new software
  • Ability to maintain confidentiality
  • Proactive, positive attitude, teamwork, and commitment to resident satisfaction

Nice To Haves

  • Knowledge of medical terminology/healthcare admissions a plus

Responsibilities

  • Manage inquiries from prospective residents/families (phone, email, in-person)
  • Conduct facility tours, highlighting features and benefits
  • Prepare and organize admission packets
  • Collect and verify resident data, insurance, and medical documentation
  • Maintain accurate, confidential admission records (physical/electronic) compliant with regulations
  • Schedule admission appointments, tours, and meetings
  • Communicate effectively and compassionately with residents, families, and team
  • Provide general administrative support (filing, data entry, correspondence)
  • Coordinate new resident arrivals for a seamless transition
  • Collaborate with other departments to ensure coordinated care
  • Perform other duties as assigned to support the admissions team
