Responsibilities

  • Perform clerical duties by applying procedures and practices; keep confidential records.
  • Adhere to federal and state laws to maintain the confidentiality of student information.
  • Determine how policies and procedures apply to individual situations.
  • Promote a helpful and friendly atmosphere for students and staff.
  • Maintain student files; organize images of student-related records.
  • Assist students in maintaining their records.
  • Assist faculty with submitting grades; provide faculty information about student records.
  • Process admission applications, inform students of admission requirements, and determine residence.
  • Conduct data entry to enter admissions, records, and registration information.
  • Respond to admissions, records, and registration questions by applying state/federal regulations and District policies.
  • Produce college transcripts and information verifications related to student records.
  • Develop correspondence related to the production of college transcripts and information verifications related to student records.
  • Enter, update, and search for student-related information.
  • Respond to inquiries related to admission, records, and registration.
  • Maintain and order office supplies.
  • Refer students to District resources such as personal counseling, academic counseling, assessment, or supervisor as appropriate.
  • Give instruction or direction by developing work assignments, prioritizing work, and informing staff of new procedures.
  • Train new staff and work-study students.
  • Promote and maintain open communication between staff and the supervising manager.
  • Coordinate online admission application processes and procedures.
  • Coordinate the response to student questions received through the departmental website.
  • Review and assist with updating admissions and records information available on PCC's website.
  • Perform related duties as assigned.
