About The Position

The Administrator, in conjunction with the Senior Administrator for the Department/Center, will oversee and manage research activity for the assigned center(s) within the Department. The position will oversee grant budgets and tasks related to faculty compensation, such as base salary increments, charges and quarterly supplements. Reports fiscal activity to the department Chairpersons/ Center Directors and maintains accounting and financial policies consistent with university policy.

Requirements

  • Bachelor’s degree and at least six years of related research administration experience.
  • An equivalent combination of education and experience may be considered.
  • Demonstrated computer skills, and proficiency with database and spreadsheet software programs including Microsoft Office, Teams, Adobe, and Power BI
  • Demonstrated financial analysis skills, and ability to manage large data sets.
  • Demonstrated ability to create and manage budgets.
  • Demonstrated leadership, management, and decision-making skills.
  • Demonstrated ability to innovate and collaborate regarding research initiatives.
  • Demonstrated knowledge of standard operating procedures and clinical research regulations, included but not limited to IRB and FDA regulations.
  • Demonstrated organizational and prioritization skills, along with the ability to be detail-oriented.
  • Ability to execute decisions with a sense of urgency, and work under pressure to meet deadlines.
  • Strong written and verbal communication skills, to include report writing skills.
  • Strong interpersonal skills, and ability to interact effectively with a diverse constituent population

Responsibilities

  • Works with each Principal Investigator (PI) to submit new grant, contract or clinical trial (hereafter referred to as “grant”) applications through appropriate School and University channels, in line with internal and external deadlines, including the preparation of budgets, IRB and IACUC submissions and any other required documents and the transfer of grants for incoming investigators, consistent with sponsor regulations and School and University policies
  • Monitors all grant and trial expenditures and reviews status of expenditures with PI at least monthly
  • Arranges for reallocation or rebudgeting of funds as necessary
  • Works with PI to ensure that grant funds are expended in a timely and compliant manner during the grant project period
  • Ensures that effort reports are consistent with all time and effort records and with commitments to external sponsors
  • Works with TUSM Research Administration Office (TUSM RA) to ensure accuracy of grant effort records, and timely submission of Expense Distribution Change Forms (EDCFs) to reflect same
  • Serves as pre-certifier for Effort Reporting System (ERS).
  • Manages the post-award process, including: ensuring the timely and accurate invoicing of sponsors and submission of final expenditure reports; assisting PI in the preparation of progress reports, and any other documentation required by the sponsor; assisting TUSM Finance, TUSM RA and other School or University offices in the regular review of research data for national surveys, internal reports, research space allocation assessments, etc.; preparing center annual budget projections for faculty and staff; updating and tracking equipment inventory and space reports.
  • Performs other duties as assigned
