About The Position

Join a dynamic team as an Administrator Coordinator tasked with supporting a real estate group. This role is essential in driving transactions from contract to close, ensuring exceptional client experiences. The position requires effective communication with agents, buyers, and lenders to maintain transaction timelines, with minimal phone work. You will handle appraisal information and ensure all files meet compliance requirements.

Requirements

  • Proficiency in Microsoft Excel, Outlook, and Microsoft Office.
  • Strong data entry and administrative skills.
  • Excellent email and project coordination abilities.
  • Experience in administrative support and clerical tasks.
  • Real Estate environment experience

Nice To Haves

  • Ability to manage every client from contract signing through three years post-close.
  • Experience in supporting agents and removing obstacles in transactions.
  • Proficiency in preparing and distributing daily transaction reports.

Responsibilities

  • Ensure 100% compliance of files with Market Center and Legal Requirements.
  • Complete all contract-to-close tasks on or before deadlines.
  • Monitor all deadlines and contingencies proactively to prevent delays.
  • Strive for a minimum of 5 new Google reviews per month with a 4.9+ average rating.
  • Ensure 25% of closed clients provide at least one referral within 12 months.
  • Maintain consistent tracking of reviews and referrals through to the appointment stage.
  • Provide timely updates to all clients and agents at every stage of the transaction.
  • Develop and maintain backend operational systems to monitor transactions.
  • Ensure tasks, deadlines, and client touchpoints are tracked and accessible.
  • Provide daily 'Soft Close' reports and transaction statistics to leadership.
