Administration of Human Resource Programs

Under the direction of the Dean of Institutional Effectiveness, and in collaboration with the Associate Dean, the Administrative Technician / IE Specialist provides comprehensive administrative and technical support to the Office of IE. The role ensures efficient coordination of office operations, meetings, and materials; supports data, communication, and reporting needs; and contributes to a positive, organized, and well-functioning team environment. This position operates in a highly collaborative, data-informed, and continuously improving office where adaptability, accuracy, and teamwork are essential. The successful candidate will bring strong organizational skills, initiative, and a commitment to service, learning, and problem-solving in support of the College's mission and goals.

  • Provide administrative support to the Office of IE, including scheduling, correspondence, document processing, requisitions, reimbursements, travel authorizations, and hiring logistics.
  • Coordinate office operations such as ordering supplies, organizing and maintaining shared office spaces, managing records, and updating and maintaining the IE website to ensure current and accurate information.
  • Prepare and organize meeting agendas, materials, minutes, and follow-ups for committees and workgroups supported by IE.
  • Assist with meeting logistics such as room reservations, in-person and Zoom setup, calendar coordination, and website updates for committee activities.
  • Compile and organize data, assist with report and website updates, and support data cleaning and maintenance tasks of a technical and paraprofessional nature, in collaboration with research and analyst staff.
  • Design branded, user-friendly materials, infographics, and presentations using Canva, PowerPoint, or similar tools consistent with college standards.
  • Proofread and validate reports, publications, and web content for clarity and accuracy.
  • Support the Dean and Associate Dean with team recognition and engagement activities that promote a positive, inclusive, and collaborative office culture.
  • Demonstrate integrity and strong interpersonal skills, using tact, diplomacy, and courtesy in all interactions with colleagues and students.
  • Maintain confidentiality and ensure tasks are completed accurately and on time.
  • Perform related duties as assigned.
  • Follow complex instructions and apply established procedures with accuracy, discretion, and sound judgment.
  • Demonstrate strong attention to detail and a commitment to producing high-quality, reliable work.
  • Communicate clearly and professionally, both orally and in writing, including preparing accurate and polished documents.

  • Work with data and information of a technical and paraprofessional nature, supporting data organization, reporting, and documentation in coordination with research and analyst staff.
  • Apply technology skills to edit websites, design graphics and visual materials, and create presentations that align with institutional branding and accessibility standards.
  • Handle confidential information responsibly and maintain organized, well-documented records and systems.
  • Show adaptability and initiative, with a willingness to learn new technologies, systems, and processes to support evolving office needs.
  • Familiarity with Institutional Effectiveness operations such as Program Review, Research, Planning, Outcomes Assessment, and Accreditation.
  • Interest in or basic understanding of continuous improvement principles, organizational theory, or systems thinking.
  • Proficiency with Office 365 applications and experience with survey platforms, website editing tools, or flyer/graphic design software (e.g., Canva, SharePoint, Qualtrics).
  • Experience working with data, research, or coding tasks to support institutional projects and reports.
  • Experience with budget processes at SDCCD or similar settings, including projections, purchase orders, requisitions, and travel authorizations.
  • Ability to thrive in a collaborative, evidence-informed, and improvement-focused office environment that values learning and teamwork.
