About The Position

The Administrative Support Specialist serves as the welcoming first point of contact for The Road Home, embodying the agency's mission and compassion. This role is responsible for professionally greeting all guests and visitors, managing a multi-line phone system, and ensuring the security of the reception area. Key duties include providing general administrative support, managing office inventory and mail, and coordinating employee events, all while maintaining a trauma-informed, safe, and organized environment. Applicants must be authorized to work for ANY employer in the U.S. We are unable to sponsor or take over sponsorship of an employment visa at this time. This is an in-person position that requires travel between various resource centers and shelters.

  • Communicate clearly and effectively with clients, coworkers, and supervisors using verbal and written communication.
  • Ability to lift and move heavy items up to 35 pounds.
  • Ability to sit, stand, and move for at least an hour at a time or more.
  • Ability to bend, squat, kneel, twist, push, and pull to perform job functions.
  • Ability to use stairs or steps.
  • Ability to safely climb step stools.
  • Must be at least 21 years old, have a valid, unexpired driver’s license, and the ability to drive a vehicle, as needed.
  • Minimum of 2 years of administrative experience.

Nice To Haves

  • Experience working with diverse and/or vulnerable populations is preferred.
  • Bachelor's degree preferred or equivalent work experience.

Responsibilities

  • Greet all visitors to The Road Home Housing and Administrative Services building in a warm and professional manner.
  • Answer, screen, and forward incoming phone calls, taking accurate and detailed messages when necessary.
  • Professionally handle general inquiries and resolve complaints received through the main agency phone lines.
  • Document and report observations, non-emergency and emergency calls, illegal activity on the premises
  • Accurately place orders for agency supplies and services, following all established procedures.
  • Maintain and track office supply inventory, ensuring adequate stock levels are met.
  • Receive, sort, and distribute all incoming mail and packages in a timely manner.
  • Maintain workplace security by monitoring the entrance, checking visitors in and out, issuing visitor badges, and maintaining a security log; ensure the reception area is never left unattended.
  • Provide general administrative support to the executive team, including scheduling and preparation for meetings including but not limited to, special projects, staff appreciation, and events.
  • Manage logistics and planning for employee committee events and activities.
  • Collect timely updates, collaborate with various programs and departments to create a monthly all-staff newsletter.
  • Ensure a consistently high quality of customer service is provided to all visitors and staff.
  • Attend mandatory agency trainings, including Trauma-Informed Care, Housing Focused, De-escalation, Suicide Prevention, CPR, and more.
  • Participate in emergency drills and environmental safety activities, as required.
  • Follow all agency protocols for security, safety, and sanitation to maintain a clean and secure environment for guests and staff.
  • Maintain regular and reliable attendance as an essential function of this position.
