About The Position

The Administrative Support Specialist – Special Projects provides high‑level administrative and organizational support for cross‑functional, high‑priority, and time‑sensitive initiatives. This role focuses on coordinating project activities, maintaining documentation, preparing reports, and ensuring smooth communication between teams. The Specialist plays a key role in keeping projects on track by managing logistics, organizing data and materials, and supporting project leads with day‑to‑day administrative needs. Strong attention to detail, adaptability, and excellent organizational skills are essential.

  • Strong organizational skills and attention to detail.
  • Ability to support multiple projects simultaneously in a fast‑paced environment

Responsibilities

  • Provide direct administrative support to project leads and department stakeholders.
  • Organize, track, and maintain project documentation, files, and communication records.
  • Prepare meeting agendas, presentations, status updates, and other project materials.
  • Coordinate project schedules, deadlines, and action items across multiple teams.
  • Assist with planning, scheduling, and supporting project‑related meetings or milestones.
  • Accurately input, update, and maintain project‑related information in spreadsheets, databases, and tracking systems.
  • Verify documentation and data for accuracy, completeness, and consistency.
  • Conduct routine audits of project files, logs, and data sources to ensure information is current and properly organized.
  • Generate reports, summaries, dashboards, or logs based on project needs.
  • Serve as a communication point‑of-contact for project‑related documentation, data requests, and administrative tasks.
  • Work closely with department leads, project managers, and administrative staff to ensure timelines and requirements are met.
  • Communicate issues, delays, or discrepancies promptly and professionally.
  • Recommend improvements to administrative processes, templates, and documentation workflows.
  • Help set up or refine project tracking systems, shared folders, document templates, and reporting tools.
  • Support onboarding and preparation for new special initiatives by organizing materials and establishing project frameworks.
