About The Position

DCS has an exciting opportunity for an Senior Administrative Support Specialist providing support to the Air Force Life Cycle Management Center/PEO Electronic Systems Directorate, Aerospace Management Systems Division (AFLCMC/HBA). The Aerospace Management Systems Division develops, delivers, and sustains USAF air traffic management and weather sensing/forecasting capabilities enabling military, civil, and allied and foreign military sales customers to achieve their mission. This is a full-time position located at Hanscom Air Force Base, MA.

Requirements

  • U.S. Citizenship is required due to the sensitivity of customer related requirements.
  • A High School Diploma plus 15 years of experience, 5 of which must be in the DoD or a Bachelor's Degree in a related field and at least 10 years of experience in the respective technical / professional discipline being performed, 5 of which must be in the DoD.
  • Active DoD Secret Security clearance.

Responsibilities

  • Ensures the leadership is kept informed of all issues of interest that relate to the mission of the directorate.
  • Monitors progress toward accomplishment of various taskings and initiatives.
  • Provides support by supplying the information and background for the preparation of program events.
  • Drafts documents for the approval and signature of leadership.
  • Disseminates program policy and specific initiative guidance for members of the organization.
  • Coordinates, documents, monitors, and supports a variety of meetings and conferences to include, but not limited to, scheduling and set up of physical and virtual meetings and in support office staff and external participants.
  • Prepares background information and invites required meeting participants ensuring documentation of the meetings are filed IAW organizational policy.
  • Maintains scheduling documents and requirements for video and online conferencing set up and execution.
  • Prepares correspondence, reports, papers and briefings IAW applicable policies and templates.
  • Maintains appointment calendars and conference room schedules.
  • Answers telephones, forwards messages, and provides responses to routine queries.
  • Assists with coordination, consolidation, analysis, distribution and monitoring of action items, suspenses and responses.
  • Provides inputs and recommendations regarding administrative and office management processes and procedures.
  • Assists with preparation of and updates to program office file management documents.
  • Prepares agendas, reports and briefings for staff meetings.
  • Assists Government with management of organization's workflow.
  • Assists with travel planning, travel arrangements and execution IAW with the Defense Travel Administrator's Manual utilizing the Defense Travel System.
