Widener University Delaware Law School is currently seeking an Administrative Support Specialist who will work as part of the Student Affairs team, reporting to the Associate Dean for Student Academic Affairs. The person in this role will perform various administrative assistant duties as needed in Student Affairs such as filing, processing financial paperwork, helping to oversee student workers, and assisting with event organization. The person in this role will also work with the law school's honor societies to provide administrative assistance with special programs, competitions, and symposia; arrange for payments related to honor society initiatives; and help to onboard new honor society members. The Administrative Support Specialist will assist student honor societies and Student Affairs with special events including but not limited to arranging for rooms, food, and invitations. This role will also involve tracking honor society budgets, onboarding new honor society members, and working with journal publishers to coordinate submission of material and arrange for payment. Additionally, the specialist will assist with receptionist duties for the office, serving as a first point of contact for students and others visiting the Office of Student Affairs. Other responsibilities include typing, proofreading, printing, copying, and emailing or mailing letters, memos, and reports. The specialist will answer telephones and emails from students, screen and route inquiries accurately and in a professional and friendly manner. They will also assist with hiring student notetakers for accommodated students, track submitted class notes, and accurately distribute them to accommodated students. General support duties such as correspondence, filing, messaging, and assisting with proofreading, duplication/printing, and dissemination of flyers and documents will also be part of the role. The specialist will prepare payment/check requests for bills and requests for reimbursement, assist the Associate Dean with inputting P-card expenses, and draft and submit expense reports. Ordering office supplies and ensuring maintenance of office equipment and facilities, as well as processing invoice payments, reimbursements, and check requests as needed, are also key responsibilities. Additional duties may be assigned as necessary.
