About The Position

Full-time position available on or after June 1, 2026 for Academic Affairs. This position’s responsibilities are carried out under general direction. The incumbent is responsible for coordinating the full scope of clerical and administrative support operations for a large or complex academic or administrative office. The position performs advanced administrative support functions, plans and coordinates complex projects, analyzes operational and procedural issues, tracks and projects budgetary data, prepares comprehensive reports, and independently interprets and applies policies and procedures. The incumbent exercises a high level of judgment and discretion in supporting the effective administration of the unit.

Requirements

  • Completions of a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.
  • Experience to be fully functional in all technical aspects of work assignments.
  • Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures.
  • Thorough mastery of English grammar, punctuation, and spelling.
  • Thorough knowledge of office systems and expertise in using office software packages, technology and systems.
  • May function as the office information technology specialist.
  • Ability to use and quickly learn new office support technology systems and software packages is a prerequisite.
  • Ability to independently handle multiple work unit priorities and projects.
  • Ability to interpret and apply a wide variety of policies and procedures independently, and use judgment and discretion to act when precedents or specific guidelines do not exist.
  • Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area.
  • Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.
  • Ability to analyze operations and procedural problems and develop, recommend, and evaluate proposed solutions.
  • Working knowledge of budget policies and procedures.
  • Ability to perform business math, such as calculate ratios and percentages, track and analyze financial and/or budgetary data, and make accurate projections requiring some inference.
  • Ability to effectively write and present own reports.
  • Ability to effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations.
  • Ability to use negotiation and persuasion skills to achieve results and expedite projects.
  • A background check (which may include: fingerprinting, checks of employment records, education records, criminal records, civil records, motor vehicle records, professional licenses, and sex offender registries, as position requires) must be completed satisfactorily before any candidate can begin employment with the CSU.

Nice To Haves

  • Bachelor’s degree in Business Administration, Public Administration, Education, or a related field
  • Three (3) years of experience supporting senior leadership (e.g., AVP, Dean, or equivalent) in an academic or administrative setting
  • Demonstrated experience coordinating complex projects or initiatives involving multiple stakeholders and deadlines
  • Experience analyzing data and preparing reports, summaries, or briefing materials to support decision-making
  • Experience using enterprise systems (e.g., CMS/Acalog or similar curriculum or academic systems)
  • Experience supporting academic processes such as curriculum coordination, accreditation, faculty affairs, or program review
  • Prior experience in a CSU or higher education setting
  • Advanced proficiency in Microsoft Office 365 (particularly Excel, Outlook, and Teams), including managing data, reports, and communications

Responsibilities

  • Perform and coordinate the full scope of administrative and operational support functions, ensuring efficient work unit operations.
  • Evaluate, establish, and refine office procedures to improve operational efficiency within a complex academic or administrative unit.
  • Establish priorities and coordinate unit workflow, monitoring progress and adjusting as needed to meet operational goals.
  • Plan, coordinate, and implement projects and administrative initiatives related to programs, policies, and procedures.
  • Plan and coordinate complex events and operational activities, ensuring alignment with program and institutional objectives.
  • Independently gather, analyze, and interpret data, identifying trends and providing summaries to support decision-making.
  • Track, monitor, and evaluate program and operational activities, ensuring compliance with procedures and identifying areas for improvement.
  • Compile, analyze, and present reports, including recommendations or explanatory summaries as appropriate.
  • Serve as a key administrative liaison, interacting with diverse campus and external constituents to support operational needs.
  • Independently resolve a range of operational and procedural issues, using judgment and knowledge of policies.
  • Coordinate and lead complex, and at times campus-wide, projects, ensuring successful execution across functional areas.
  • Serve as primary point of contact for internal and external stakeholders, including high-level administrators, handling sensitive and complex matters.
  • Support website editing, updating and design.
  • Provide lead work direction, including assigning tasks, training, and monitoring work of student assistants.
  • Perform and coordinate general office support functions to ensure continuity of operations.
  • Prepare and review correspondence and documents requiring accuracy, judgment, and knowledge of procedures.
  • Create and maintain standard and electronic records and files and recordkeeping systems.
  • Coordinate and perform general office support functions to ensure efficient unit operations, including records management, meeting and event coordination, travel logistics, and supply procurement.
  • Troubleshoot and resolve office technology and systems issues, coordinating with appropriate resources as needed.
  • Perform and support general office administrative functions and operational activities as needed.
  • May be required to obtain additional training and/or certification as part of professional development, based on department and/or campus needs, to stay current with industry standards.
  • At the direction of appropriate administrator, may provide support to other areas as needed.
