About The Position

The Chicana/o Studies department within the Division of Academic Affairs is committed to student engagement and achievement, faculty and staff development and work-life balance, and social justice on campus and in the community. Chicana/o Studies students graduate with skills that allow them to excel either in graduate school or the work force. Recent graduates have found employment in the areas of education, public policy, social work (public, private, and nonprofit sectors), politics, business, and the arts. We seek an exceptional individual to join our team as the Administrative Support Coordinator II, Chicana/o Studies. Requirements

  • High School diploma or the equivalent and three years of experience in general office, clerical or administrative support work or the equivalent. Training at a vocational school or full-time college education may be substituted for the required experience on a year for year basis.
  • Comprehensive and detailed knowledge of applicable university infrastructure, policies, and procedures.
  • Thorough mastery of English grammar, punctuation, and spelling.
  • Expertise in using office software packages, technology, and systems.
  • Ability to independently handle multiple work unit priorities and projects.
  • Ability to independently interpret and apply policies and procedures and use judgment and discretion to act when precedents do not exist.
  • Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area.
  • Ability to understand problems from a broad perspective and anticipate the impact of office administration problems and solutions on other areas.
  • Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions.
  • Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference.
  • Ability to effectively write and present own reports.
  • Ability to effectively handle interpersonal interactions at all levels including highly sensitive interpersonal situations.
  • Ability to use negotiation and persuasion skills to achieve results and expedite projects.
  • A background check (including a criminal records check) must be completed satisfactorily and is required for employment.
  • CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information.
  • Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.

Responsibilities

  • Provides lead administrative support to the Chicana/o Studies department, the Department Chair, and faculty.
  • Coordinates and monitors workflows in the office, delegates tasks and adheres to various timelines.
  • Organizes department events and receptions.
  • Monitors class enrollments, accesses student information for advisers, and runs reports and queries.
  • Inputs course schedule information and term workloads, and processes lecturer and graduate assistant contracts.
  • Provides budget support by monitoring and reconciling multiple budget accounts, reconciling procurement cards, and compiling budget reports.
  • Provides lead support and training to office staff and student assistants.
  • Hires and processes student assistants and oversees their work.
  • Tracks staff, faculty, and student assistant attendance and provides coordination for information technology and telephone requests.
  • Serves as the lead Department Information Technology Coordinator (DITC).
  • Performs other duties as assigned.
