About The Position

The Administrative Support (Call Center) position at Mount Sinai Health System involves performing secretarial and general office support tasks. This includes word processing, typing, telephone reception, mail distribution, and record and file maintenance. The role typically services an assigned department, care center, or nursing unit. The position is full-time, during the day, and requires in-person attendance at the Staten Island Multispecialty location.

Requirements

  • HS/GED required; some college preferred.
  • 2 years of experience in a physician practice or hospital setting providing administrative support functions.
  • Comfort level in patient interaction and understanding of maintaining patient confidentiality.
  • Intermediate skills in MS Office Suite.
  • Familiarity with Epic and IDX or other EHR systems.

Responsibilities

  • Answers telephone, screens callers, relays messages, and greets visitors.
  • Opens, sorts, and prioritizes mail.
  • Picks up and delivers materials as required.
  • Maintains records through filing, retrieval, retention, storage, coding, updating, and destruction.
  • Types routine correspondence, memos, reports, minutes, and other documents from dictation or handwritten copy.
  • Proofreads typed materials and makes corrections as needed.
  • Screens and schedules patient appointments, schedules referrals for special testing or doctors' visits, and keeps records of patient billing for submission.
  • Makes travel, accommodation, and/or transportation arrangements.
  • Schedules and maintains calendar for meetings and/or appointments.
  • Responds to inquiries for information according to established policies.
  • Gathers, assembles, and categorizes data for general information purposes and special reports.
  • Processes check requests and expense reimbursements.
  • Performs other related duties as necessary.
