The Administrative Supervisor manages the day-to-day operations of Virtual Primary Care, Virtual ReadyMED and ReadyMED Worcester to include mentoring and coaching twelve team members. They will supervise assigned employees and activities for the efficient administration of medical office activities. Coordinates a broad range of functions including patient billing, registration and scheduling, electronic medical record (EMR), budget, etc.

Requirements

  • 3+ years of healthcare experience.
  • Experience as a Senior Patient Service Specialist, Team Lead, Supervisor or Manager.
  • Proficiency with Microsoft Excel, Word, Outlook, etc.

Nice To Haves

  • Proven knowledge of electronic medical records (EMR).
  • Proven knowledge of continuous improvement tools (e.g., standard work, 5S, root cause analysis, etc.).

Responsibilities

  • Supervises assigned personnel including performance evaluations, scheduling, orientation, and training.
  • Makes recommendations on employee hire, transfers, promotions, salary changes, discipline, terminations, and other similar actions.
  • Department scheduling to include templates/provider schedules.
  • Cash responsibilities, daily cash deposit.
  • Managing unauthorized referral report.
  • Monitor work ques to ensure tasks are completed in a timely manner.
  • Resolves grievances and other personnel problems within position responsibilities.
  • Provides effective direction, guidance, and leadership over the administrative staff for effective teamwork and motivation.
  • Coordinates the assignment of tasks and helps resolve technical and operational problems.
  • Participates in the development and recommendation of the operating and capital budgets for the areas managed.
  • Plans, implements and evaluates the assigned staffing needs on a daily basis to adequately support patient care.
  • Processes payroll for assigned staff following standard procedures.
  • Ensures staff are trained and provided with updates on the EMR workflows as required.
  • Oversees the point of service collections and overdue balance processes.
  • Performs similar or related duties as required or directed.
  • Rotating on call schedule to provide support to Provides and staff as needed after hours.
