About the position

The Administrative Supervisor at GOFO Express will oversee the daily operations of the administrative team, ensuring efficient workflow and adherence to company policies. This role involves managing office maintenance, vendor relationships, budgeting, and event planning, while also supporting employee needs and enhancing workplace safety.

Responsibilities

  • Ensure the proper maintenance and functionality of the office environment, including utilities such as water, electricity, and HVAC systems.
  • Regularly inspect office facilities and coordinate with vendors for maintenance and repairs.
  • Oversee the purchasing and inventory of office supplies, employee welfare items, and other essential resources, ensuring cost-effectiveness.
  • Negotiate with and manage vendor relationships, ensuring the quality and timely delivery of supplies.
  • Process purchase orders and invoices, maintaining up-to-date inventory records.
  • Manage and track administrative budgets and expenditures to optimize cost control.
  • Perform regular data analysis on administrative expenses and supply usage to generate reports for management review.
  • Manage, organize, and securely archive company files, contracts, and important documents, ensuring data integrity and accessibility.
  • Maintain and update internal administrative documents, such as policies and procedures, making sure they are easily accessible to employees.
  • Plan and coordinate company meetings and events, including venue booking, setup, catering arrangements, and equipment preparation.
  • Organize team-building activities, corporate events, annual gatherings, and training sessions to enhance employee engagement.
  • Address daily administrative needs of employees, such as access cards, office supplies, and basic facility requests.
  • Oversee onboarding logistics for new hires, including workspace setup, equipment provisioning, and facility orientation.
  • Manage the procurement, registration, inventory, and periodic auditing of company assets, ensuring accurate records and efficient usage.
  • Regularly track and update the asset ledger, reporting on the status and usage of assets.
  • Assist in drafting and optimizing administrative policies and procedures to enhance efficiency and consistency.
  • Gather employee feedback on administrative processes and propose improvements to streamline operations.
  • Conduct regular office safety inspections and implement safety measures to maintain a secure workplace.
  • Coordinate emergency drills, such as fire evacuations, to ensure employee readiness and compliance with safety regulations.

Requirements

  • Fluency in Chinese.
  • Proven experience in administrative roles with a focus on team management.
  • Strong organizational skills with the ability to multitask and prioritize work effectively.
  • Proficiency in calendar management software and MS Office Suite.
  • Excellent communication skills with the ability to supervise a diverse team.
  • Previous experience in event planning is a plus.
