About The Position

The Administrative Supervisor will oversee the efficiency of staff and processes related to service account representatives and the daily management of customer performance. This role focuses on ensuring that the local district staff effectively supports the achievement of district goals and objectives through the supervision of general office administration and adherence to best practices.

Requirements

  • High School Diploma or equivalent combination of education and experience (1-5 years of related experience and/or training).
  • Working knowledge of basic refrigeration and/or knowledge of commercial refrigeration and HVAC is preferred.
  • Strong background in management/supervisory functions.
  • Strong leadership and business acumen.
  • Ability to manage multiple, competing priorities/tasks in a fast-paced environment.
  • Strong verbal and written communication skills.
  • Strong organizational and time management skills.
  • Flexibility to work outside normal working hours as required.
  • Ability to work in a team environment and a desire for continuous learning through cross-training.

Nice To Haves

  • Knowledge of commercial refrigeration and HVAC systems.

Responsibilities

  • Monitor, measure, and modify processes and procedures of general office administrative staff to meet business objectives and customer needs.
  • Develop process improvements and initiatives to reduce slow-moving inventories.
  • Create metrics to track and demonstrate the effectiveness of implemented improvements.
  • Perform customer account analysis and management to avoid General Ledger imbalances.
  • Maintain Records of Engagement (ROEs) for all customers and vendors, along with necessary training documents.
  • Ensure training of service account representatives on customer ROE performance.
  • Oversee the administrative team, including hiring, managing daily activities, coaching, training, development, and discipline of the service and fulfillment team to meet monthly business operation goals.
  • Oversee employee payroll processing, including tracking PTO, completing reports for bargaining employees, and reviewing and submitting employee expense reports for hourly staff.
  • Develop working partnerships with District Management, Fulfillment Management, and other area management to promote efficiencies and process improvements.
  • Establish, document, and track all new customers, subcontractors, supplier accounts, etc.
  • Assist in monitoring and managing overdue accounts, recording information about the financial status of customers and collection efforts.
  • Perform additional responsibilities as assigned.
