About The Position

The Administrative Specialist (also known as Production Assistant) plays a crucial role in supporting the Associate Broker, Broker, or Practice Group Leader by managing day-to-day technical and clerical tasks within the department. This position is ideal for individuals with strong communication skills and administrative experience, particularly those interested in the insurance industry. The role offers a blend of on-site and hybrid work arrangements after training, emphasizing teamwork, flexibility, and employee growth.

Requirements

  • 0-3 years of insurance experience, preferably in commercial property & casualty or surplus lines.
  • 0-1 year of administrative or office experience.
  • Excellent verbal and written communication skills.
  • Advanced PC/MS Office skills (Word, Excel, and other software as required).
  • Effective time management and follow-through skills.
  • Organized and detail-oriented with good listening skills.
  • Ability to work independently with minimal supervision.
  • Flexibility in work schedule as needed.
  • Willingness to take insurance classes and attain relevant designations.
  • Ability to secure the appropriate insurance license within the required timeframe.

Responsibilities

  • Assist the Associate Broker with the submission process as assigned.
  • Prepare Quotes and Confirmation of Coverage (Binders) as directed.
  • Review policies to ensure they are issued correctly according to what was bound with the carrier.
  • Request policy changes, follow up for endorsements, review for accuracy, invoice, and transmit to agent.
  • Manage and maintain pending items, following up and escalating unresolved issues to the broker or Associate Broker as necessary.
  • Ensure Surplus Line documents are submitted correctly and on time.
  • Attend educational seminars as required.
  • Produce and mail renewal letters with applications to customers when applicable.
  • Review renewal and/or new business information submitted by the customer and request supplemental or explanatory information if required, as directed.
  • Process certificates of insurance when applicable.
