Requirements

  • Typically Requires an AA/AS degree (or other 2-year post high school training) with a minimum of 6 years of relevant experience.
  • Experience with supporting V-level executives or senior leadership.
  • Experience with multi calendar management, meeting scheduling and coordination, planning events, expense reports, and data reports.
  • Experience with Productivity tools including Microsoft office suite tools (Outlook, Word, Power Point, Excel), SharePoint, and OneNote
  • Experience with collaboration tools such as Microsoft Teams or similar and virtual meeting platforms such as Zoom or similar
  • U.S. Citizen - U.S. citizenship is required, as only U.S. citizens are authorized to access information under this program/contract.

Responsibilities

  • Administrative & Calendar Support - Manage complex calendars, schedule and coordinate meetings across multiple stakeholders, and serve as the liaison between departments to ensure clear communication and reporting practices.
  • Event & Catering Coordination - Plan, coordinate and support meetings and events of varying size – including room setup, catering orders and cleanup. Manage conference room reconfigurations and headcount logistics
  • Site Operations & Facilities - Maintain site resources including seating charts and distribution lists. Manage supply cabinets, snack closets, and kitchen inventory. Coordinate with EHS on safety and compliance initiatives.
  • Travel & Expense Management - Coordinate domestic travel arrangements, complete expense reports, and perform associated filing.
  • Communications & Customer Support - Interface professionally across all levels of the organization. Respond to general internal business inquiries and provide timely, accurate support to team members, employees, and candidates.
  • Administrative Production/Processes - Synthesize information with attention to detail and produce documents, spreadsheets, and presentations using MS Office suite (Outlook, Word, PowerPoint, Excel), SharePoint, and OneNote.
  • Employee Engagement - Support community service activities, site events, and employee engagement initiatives in partnership with site leadership.
