About The Position

The Administrative Specialist at the University of North Texas serves as the Welcome Desk Supervisor, providing a positive and helpful presence at the front desk. This role is crucial for assisting students and visitors, troubleshooting their needs, and maintaining effective communication with various departments to ensure optimal service delivery. The position involves data management, compliance with FERPA regulations, and training staff on university policies and procedures.

Requirements

  • Associate's degree and three years of office administration or business management experience, or equivalent combination of experience, education, and training.
  • Exceptional customer service skills.
  • Intermediate Microsoft Office skills.
  • Ability to work under pressure and handle multiple tasks effectively.
  • Ability to keep complex records and prepare reports in acceptable formats.
  • Skill in developing and maintaining good working relationships.

Nice To Haves

  • Bachelor's Degree
  • Prior supervisory experience or team lead experience
  • Proficient in Microsoft Office suite, particularly Word, Excel, PowerPoint, and TEAMS
  • Excellent communication skills, especially in clarifying complex messages.

Responsibilities

  • Serve as a positive and helpful front-facing presence at the Welcome Desk.
  • Assist with troubleshooting and devising processes to maintain an efficient Welcome Desk.
  • Keep communication channels open with departments to share up-to-date information with the Welcome Desk Team.
  • Lead Welcome Desk Partner committee meetings to identify deficiencies and improve collaboration.
  • Ensure timely and accurate data collection on interactions at the Welcome Desk for assessment and funding purposes.
  • Utilize FERPA training to handle student records confidentially and ensure compliance among student workers.
  • Create safety readiness training in collaboration with UNT PD, Frisco PD, and risk management.
  • Implement training for Welcome Desk staff on UNT policies and procedures, providing support and performance evaluations.
