About The Position

The Administrative Specialist will provide comprehensive administrative support to senior-level staff within the U.S. Office of the Secretary. This role involves managing time and attendance, organizing office operations, and facilitating communication with high-ranking officials. The specialist will also be responsible for preparing reports, managing travel arrangements, and implementing various administrative programs to enhance office efficiency.

Requirements

  • Doctoral degree or equivalent experience in a relevant field.
  • 1 year of specialized experience equivalent to GS-9 level in the Federal service.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and SharePoint.
  • Experience managing calendars for senior leadership.
  • Ability to maintain electronic systems for tracking correspondence and documents.
  • Strong organizational and planning skills.

Responsibilities

  • Maintain time and attendance records.
  • Copy, scan, print, and compile documents.
  • Manage incoming and outgoing mail/packages.
  • Obtain office equipment and supplies.
  • Plan and organize work effectively.
  • Perform administrative duties for senior-level staff, including preparing reports and travel arrangements.
  • Assist and advise staff on procedural and administrative aspects of action items.
  • Assign actions to appropriate offices with necessary background material.
  • Implement and support various administrative programs, including records and files management.
  • Evaluate procedures and implement necessary changes.
  • Research and obtain background information for required actions.
  • Respond to administrative issues and inquiries, resolving conflicts regarding policies and processes.
  • Serve as a liaison for the office, interfacing with high-ranking officials.
  • Prepare legal correspondence, charts, tables, and reports using various software packages.
  • Proofread all correspondence for grammatical, typographical, and formatting errors.
