About The Position

The Division of Emergency Management (EM) is hiring an Administrative Specialist Senior that: Provides high-level professional administrative support to internal staff and leadership related to an agency’s business operations. Performs duties in the oversight of intricate processes such as activities involving mandated regulations or procedures, comprehensive research, or collaboration with internal and external stakeholders. Job duties include but are not limited to the following: Audits County Emergency Management budgets, workplans, training, exercise, rescue requirements and other documents to determine eligibility for Emergency Management Performance Grant (EMPG) programs. Maintains check log and county budget spreadsheets. Assists with EMPG, mitigation, and public assistance site visits. Enter information into WebEOC and/or Survey 123. Updates contact lists, monitors KYEM Form 400s, update/receive KYEM Form 50s, track 308 forms; assist regional storm roll-up. Manages Area Office in absence of Area Manager. Interprets rules, regulations, policies to local personnel to assure Agency compliance. Verifies County Emergency Plans are in compliance with State KRS and provides guidance for any revisions. Provides professional technical assistance to county LEPCs in development and tracking of HAZMAT facility response plans, updates, yearly eligibility requirements and grant applications. Receives phone calls and visitors. Informs Area Manager of any problems or situations. Maintains and updates emergency notification data relating to all 12 counties. Operates office equipment and 2-way radio. Sorts mail and maintains mail log. Tracks office inventory and timesheets. Prepares various complex reports and summaries of statistical data. Represents Agency at meetings. Attends training. Assists with required quarterly meetings and provides administrative support. Assists in area Emergency Operations Center during emergencies and disasters.

Requirements

  • EDUCATION: Graduate of a college or university with a bachelor's degree.
  • EXPERIENCE, TRAINING, OR SKILLS: Three years of professional, administrative, or business experience.
