About The Position

The Administrative Specialist II position at the North Carolina State Bureau of Investigation (SBI) is a full-time role focused on providing administrative support to the Training Section. This position assists the Special Agent in Charge and is responsible for managing various administrative tasks, including handling confidential information, maintaining records, and overseeing training logistics for agents. The role is essential for ensuring the smooth operation of the Training Section and supporting the investigative activities of personnel.

Requirements

  • High school diploma or GED and four years of related administrative experience, or equivalent combination of education and experience.
  • Demonstrated skill in using Microsoft computer applications, such as Word and Excel, in a business setting.
  • Demonstrated skill in handling confidential information in a business setting.
  • Experience with preparing and reviewing documents/files for accuracy and appropriate documentation including mathematical calculations, spelling, punctuation and grammatical correctness.
  • Experience performing administrative functions in an office setting.
  • Ability to operate office machines and personal computers.
  • Ability to obtain and maintain Division of Criminal Information Network (DCIN) certification at the appropriate use level.

  • Proficiency with Power DMS.

Responsibilities

  • Evaluate and appropriately handle phone calls for assistance from personnel and the general public.
  • Review agents timesheets for accuracy and perform time recording duties in the State of North Carolina's Integrated Human Resources Payroll System (Fiori).
  • Prepare and review a variety of forms and reports.
  • Maintain division files in accordance with SBI policy.
  • Maintain equipment and supply inventory and order supplies for the section.
  • Oversee recertifications for certified and specialized instructors, as well as in-service and firearms training for agents.
  • Process all Awards for Professional Law Enforcement certificates through Criminal Justice Training and Standards.
  • Process course file request submissions, promotional career development packets for Agents I through III, and Field Training Program packets for trainees.
  • Maintain a schedule for shared training spaces including the gymnasium, classroom, auditorium and/or multi-purpose rooms.
  • Approve all SBI external training submitted to Cornerstone and provide training transcripts as requested.
