About The Position

The University of Arkansas System Division of Agriculture is a state wide campus, with faculty based on University campuses, at Research and Extension Centers and in every Arkansas county. It consists of the Arkansas Agricultural Experiment Station (AES) and the Arkansas Cooperative Extension Service (CES), and is home to more than 1400 employees. The Division was established in 1959 and is headed by the Vice-President for Agriculture. The Division headquarters is located in Little Rock with the rest of the University of Arkansas System Administration. The Administrative Specialist III is responsible for coordinating office activities, researching and preparing special reports, and developing, revising, and recommending administrative policies and procedures as directed by supervisor. This position is governed by state and federal laws and agency policy. Support the Arkansas APEX Accelerator program staff (six FT and one PT team members) by purchasing supplies, creating and submitting expense reports, making travel arrangements, preparing documents, shipping packages, forwarding correspondence to the appropriate personnel, assisting in event organization and other duties as assigned. Maintains inventory control of equipment for the APEX Accelerator program. Orders and maintains sufficient stock of office supplies for the APEX Accelerator program. The position also supports the Arkansas APEX Accelerator business clients by promptly responding to phone and e-mail communications, assisting with in person and virtual training events, primary computer and internet navigation support and monthly client government contract reporting. The position assists in the management of the APEX Accelerator client and event database, including coordinating with event organizers and managing client follow-ups. The Arkansas APEX Accelerator program staff works with an average of 750 businesses a year and participates in an average of 100 events annually.

Requirements

  • The formal education equivalent of a high school diploma; plus two years of experience in a specialized or related area applicable to work performed.
  • Knowledge of record-keeping procedures.
  • Knowledge of customer service skills.
  • Knowledge of data management systems.
  • Knowledge of computers & software applications.
  • Ability to establish & maintain filing systems.
  • Ability to operate standard office equipment.
  • Ability to analyze documents to determine compliance with rules, regulations, & procedures.
  • Ability to communicate both orally & in writing.
