About The Position

THE ADMINISTRATIVE SERVICES SUPERVISOR LEADS A TWO-PERSON ADMINISTRATIVE TEAM SUPPORTING GOVERNMENT AFFAIRS. OVERSEES CONTRACTS, EVENTS, SCHEDULES, BUDGET/EXPENSE MANAGEMENT, WORK WITH POLITICAL DIRECTOR TO ASSIST WITH PAC SUPPORT, AND DISTRIBUTION OF KEY COMMUNICATIONS.

Requirements

  • 5+ years’ experience in association management, government affairs, public policy, or related field.
  • Proven supervisory, contract, event, and budget management skills.
  • Microsoft 365 proficiency.
  • Operational excellence, compliance, stakeholder management, communication, and discretion.
  • 7+ years of progressive administrative/operations experience in government affairs, public policy, political consulting, association management, or a related field.
  • Demonstrated experience supervising administrative staff and running high‑throughput calendars, events, and contract workflows.
  • Awareness of FEC rules governing federal PACs and familiarity with SEC pay‑to‑play restrictions relevant to ICI members.
  • Strong proficiency with Microsoft 365 (Outlook, Teams, Word, Excel), and coordination with Finance tools (e.g., Concur).
  • Experience administering counsel/vendor contracts in line with ethics rules and disclosure regimes; familiarity with LDA and Hill gift rules.
  • Association or trade group background supporting PAC programs and hosted fundraisers.

Responsibilities

  • Supervise and develop two Administrative Assistants; managing office operations and workload, budget, and expenses.
  • Administer contracts and procurement, ensuring compliance and budget alignment.
  • Plan and execute events and fundraisers; coordinate logistics, guest lists, and event budgets.
  • Oversee complex scheduling for leadership, meetings, and travel.
  • Responsible for preparing and filing all required federal, state, and local lobbying reports in accordance with applicable laws and regulations.
  • Support PAC operations, maintain records, assist in tracking expenses, and ensure regulatory compliance.
  • Distribute communications to Congress, the Administration, and the Government Affairs Advisory Committee; work with GA lobbyists to keep members informed of activities and updates.
