About The Position

The Administrative Services Specialist provides executive level administrative support to VCUHS Vice President(s) or Executive Director(s). The Admin Services Specialist ensures that all administrative assignments are carried out in a professional, timely and confidential manner and that the office operates efficiently and effectively. The Admin Services Specialist may also provide administrative support to Division Directors/staff and back-up coverage to other senior level executives as needed.

Requirements

  • Minimum of four (4) years of previous secretarial/administrative work experience in an office setting
  • Previous experience with Microsoft Office applications and e-mail/calendaring
  • High School Diploma or equivalent

Nice To Haves

  • One (1) year of experience supervising staff
  • Two (2) years of previous experience performing accounting and/or budgeting functions in a corporate setting
  • Associate Degree in Business, Accounting or related field from an accredited program

Responsibilities

  • All administrative responsibilities are performed independently.
  • Communicates and interacts with all levels of internal and external contacts
  • Oversees operational aspects of office
  • Coordinates/schedules all meeting and makes related arrangements
  • Types a variety of documents
  • Screens/refers calls
  • Handles purchase requisitions and travel reimbursements, etc.
  • May supervise assigned staff or interns/students.
