About The Position

Baker, Donelson, Bearman, Caldwell & Berkowitz, PC is seeking an Administrative Services Specialist for its Charlotte, NC office. This full-time position is ideal for candidates with a strong administrative background, particularly in a legal environment, although law firm experience is not a strict requirement. The successful candidate will be expected to demonstrate professionalism and possess exceptional communication, organizational, and computer skills. Proficiency in Microsoft Office applications, including Word, Outlook, and Excel, is essential. The role requires the ability to work effectively both independently and as part of a team, showcasing a detail-oriented approach and the capacity to manage multiple tasks in a fast-paced setting. The Administrative Services Specialist will provide comprehensive support to attorneys and staff across all offices of the Firm. Responsibilities will encompass a variety of administrative tasks, including but not limited to copying, printing, scanning, mailing, and preparing expense reports. The candidate will also assist with electronic client files, create physical files, coordinate with third-party vendors, and handle data entry. Scheduling and coordinating meetings and conferences, which may involve travel arrangements and the distribution of materials, will also be part of the role. Additional duties include time entry, downloading and saving documents from external sites, reconciling bills, managing W-9 requests, overseeing facilities, ordering and stocking office supplies, providing hospitality services, coordinating courier services, and undertaking other projects as assigned.
