The Administrative Services Coordinator II at Tennessee Tech University serves as the first point of contact for the Center for Energy Systems Research (CESR). This role is crucial in preparing and processing documents related to externally funded awards, which includes handling financial documents and grant administration tasks such as closeout reviews. The coordinator will also be responsible for making travel arrangements, preparing travel and supply requisitions, and assisting with travel claim forms for both center and grant accounts. This position requires coordination of travel support and claims with other departments and centers, ensuring smooth operations and compliance with university policies. In addition to travel coordination, the Administrative Services Coordinator II will monitor budgetary spending, verify charges, and assist with the monthly reconciliation of CESR and grant accounts. The role involves processing payments for workshop participants and other related transactions, including supplies and travel expenses using the Procard system. The coordinator will also be tasked with ordering supplies for research projects, preparing journal entries to adjust accounts, and managing student payroll. A significant aspect of this position includes designing, laying out, and preparing CESR's annual report for printing, binding, and distribution, which involves technical typing, creating graphs, drawing/editing sketches, and inserting digital signatures. Furthermore, the coordinator will assist with the institutional effectiveness report and serve as the secretary to the Center's Director and Center Manager, providing support to students, faculty, and staff while maintaining a high level of confidentiality. The role requires the ability to schedule and prioritize a considerable volume of detailed work, ensuring that all tasks are completed efficiently and accurately. The Administrative Services Coordinator II is expected to work typical hours from Monday to Friday, 8:00 a.m. to 4:30 p.m., contributing to the overall success of the CESR and its initiatives.
