About The Position

The Administrative Services Coordinator I plays a crucial role in supporting the International Center for Spinal Cord Injury (ICSCI) Clinical Director by managing administrative operations and procedures. This position ensures the efficient and effective functioning of the ICSCI through various administrative tasks, including calendar management, meeting coordination, and communication with internal and external partners.

Requirements

  • High School Diploma or GED required; Bachelor's degree preferred.
  • Minimum two years of administrative support or relevant experience required, including at least one year of experience with data management.
  • Administrative experience in a healthcare, medical, or clinical setting is preferred.

Responsibilities

  • Provide administrative support for the ICSCI Clinical Director, including calendar management, scheduling meetings, and making travel arrangements.
  • Take and disseminate meeting minutes, track licensures, and ensure membership renewals and subscriptions are up to date.
  • Compose and proofread letters, memos, and other written documents; update curriculum vitae and prepare evaluation documents.
  • Distribute mail, manage incoming telephone calls and messages, and send/distribute faxes.
  • Coordinate and submit travel reimbursements and invoices for the ICSCI Clinical Director.
  • Serve as the primary point of contact for the ICSCI Clinical Director with internal and external partners.
  • Maintain administrative documents and files for the ICSCI Clinical Director.
  • Support the ICSCI Clinical Director by coordinating presentations, lectures, manuscripts, and chapter submissions.
  • Procure office supplies for the administrative and operational staff as well as the ICSCI Clinical Director.
  • Create the weekly therapist note deficiency report and communicate notes needing immediate attention to the leadership team.
  • Coordinate NIRS submissions with other departmental administrative coordinators.
  • Assist Supervisor, Administrative Services in the preparation and planning of special departmental projects or events.
