About The Position

This position performs intermediate-level work under the direct supervision of the Bureau Chief, Bureau of Standards and Instructional Support (BSIS), Division of Public Schools.  This position works closely with the Government Operations Consultant I who serves as the Bureau’s Personnel Liaison to provide administrative support involved in facilitating the operation of BSIS performing a variety of duties

Requirements

  • Knowledge and use of correct spelling, punctuation, and grammar; letter, report and tabular formats.
  • General knowledge of office procedures.
  • Knowledge of processing travel authorizations and reimbursement forms.
  • Proficient in using Microsoft Office software, such as Access, Excel, PowerPoint, Word
  • Ability to provide excellent customer service skills.
  • Ability to follow instructions to complete assigned tasks.
  • Ability to communicate clearly and effectively both verbally and in writing.
  • Ability to be productive under tight timeframes, balance multiple and competing priorities and maintain goal-directed behavior and performance sometimes under stressful conditions.
  • Ability to interact courteously with others.
  • Ability to demonstrate consideration of the workload concerns of others and must not negatively affect productivity and morale of the unit.
  • Ability to demonstrate consistent and reliable attendance
  • High School Diploma or Equivalent
  • 1 – 3 years of experience

Responsibilities

  • Updates records and track progress regarding travel authorizations and reimbursements.
  • Updates spreadsheets related to bureau unit work and assist in monitoring accuracy of assigned content on unit’s supported documents.
  • Types correspondence using pre-established formats and procedures and proofs for grammatical and typewritten errors.
  • Assists in preparing and completion of input forms and reports, agendas and related conference materials for the Bureau Chief’s approval and signature
  • Assists other unit personnel as assigned.
  • Monitors bureau phone services.
  • Assists with bureau’s inventory processing, records, and tracking log.
  • Completes responses to written correspondence submitted through CORRFLOW for the bureau.
  • Prepares travel documents for non-DOE and DOE travelers as assigned according to Department policies and procedures.
  • Monitor and maintains essential office equipment to ensure effective operational practices.
  • Maintains departmental calendars to include BSIS Blue Room.
  • Distributes mail and arranges for FedEx, USPS, and UPS pickups.
  • Assist with maintaining adequate supply of office supplies and orders as instructed.
  • Performs other duties as assigned.
