About The Position

The Administrative School Secretary at Suwannee Virtual School is responsible for maintaining the effectiveness and efficiency of the office. This role involves a variety of administrative tasks, including data entry, maintaining school files, processing purchase orders, and acting as a receptionist. The position requires a high school diploma or equivalent, along with satisfactory completion of business/secretary skills training and a minimum of three years of successful secretarial experience. The secretary will report directly to the Principal and will be expected to handle sensitive information confidentially while working independently and making decisions with minimal supervision.

Requirements

  • High School Diploma or equivalent.
  • Satisfactory completion of business/secretary skills training.
  • Demonstrated proficiency in computerized data entry skills.
  • Minimum of three (3) years of successful secretarial experience.
  • Other appropriate certificates/licenses required by the District.

Responsibilities

  • Input required student and staff data into the Management Information System.
  • Maintain all appropriate school files.
  • Maintain internal account procedures and assist responsible school personnel in keeping appropriate records as assigned.
  • Prepare and process purchase orders and requisitions for school materials and supplies as required.
  • Complete and maintain all appropriate correspondence as directed by the principal.
  • Act as a receptionist, greeting the public in a courteous and helpful manner.
  • Assist staff and public by answering routine questions, scheduling appointments and completing forms.
  • Prepare forms for leave requests and arrange for substitute teachers as needed.
  • Provide proper distribution of all incoming telephone calls and incoming and outgoing mail.
  • Process the payroll and maintain payroll files as assigned.
  • Provide for the collection of fees as assigned.
  • Process work order requests as assigned.
  • Distribute report cards, process reports and other communication as assigned.
  • Assist with attendance and sign-in and sign-out of students as assigned.
  • Make bank deposits as appropriate.
  • Substitute in the classroom as assigned.

Benefits

  • Salary range of $32,745.00-$40,982.00 (or per the 2024-2025 Salary Schedule).
  • Salary and benefits shall be paid consistent with the District's approved compensation plan.
