  • Demonstrated ability to lead multidisciplinary teams across multiple locations.
  • Strong organizational, leadership, and communication skills.
  • Experience with healthcare scheduling, EMR, and PACS systems (Infinitt experience preferred).
  • Proficient in Microsoft Office Suite and data analysis tools.
  • Ability to travel between assigned locations routinely.

Responsibilities

  • Provide leadership, guidance, and oversight for all assigned regional facilities, ensuring operational and clinical goals are achieved.
  • Promote clear communication and collaboration between administrative, technologist, and leadership teams.
  • Schedule and facilitate regular meetings between clinical and administrative staff to evaluate goal alignment and to provide operational feedback.
  • Conduct weekly site visits and monthly performance reviews to monitor workflow efficiency, patient experience, and compliance.
  • Participate in weekly and monthly regional operations meetings with the Vice President of Operations.
  • Implement and reinforce WIS standard operating procedures, workflow protocols, and quality standards across all assigned locations.
  • Identify process improvement opportunities and execute corrective action plans.
  • Resolve site-level issues involving scheduling, staff communication, or workflow disruptions.
  • Partner with HR and Compliance for training, onboarding, and performance management of regional staff.
  • Maintain and report on key regional performance metrics (volume, productivity, compliance, and patient satisfaction).
  • Manage daily administrative operations at assigned sites, including front-office workflow, scheduling, and patient experience.
  • Monitor adherence to scheduling protocols and ensure cross-referencing between master schedules and imaging system schedules (e.g., Infinitt).
  • Oversee daily reporting: no-show rates, incomplete orders, prior authorizations, and screening backlog.
  • Audit charge capture, copay collection, and referral accuracy; coordinate with billing and revenue cycle teams.
  • Supervise and train front-office and administrative staff; conduct coaching and performance evaluations.
  • Maintain data tracking dashboards for each site, including daily, weekly, and month-to-date comparisons to goals.
  • Oversee office inventory, vendor relations, and supply management.
  • Serve as liaison for administrative operations during site inspections, compliance reviews, and audits.
  • Coordinate with Clinical Regional Manager to align clinical and administrative scheduling for efficiency and patient satisfaction.
  • Compile weekly regional dashboards summarizing:
  • Exam volume (current week, month-to-date, year-over-year)
  • No-show and incomplete tracking
  • Screening follow-up rates and forecasted volume
  • % to goal per site
  • Develop regional recommendations to improve workflow, reduce delays, and increase capacity utilization.
  • Provide feedback to the VP of Operations regarding site needs, staffing, and capital improvements.
