This position coordinates with the Administrative Project Support & Pay It Forward Manager to complete administrative support assignments bank wide. This position provides a wide variety of document processing, clerical and other administrative support as requested for all branches within Bell Bank. A thorough knowledge of and confidence in using administrative and word processing functions, as well as use of Microsoft Office products, is necessary. The ability to multitask and work with interruptions and/or on multiple tasks at one time is required. This position will provide high-quality, professional support that is accurate, complete and fulfills the intended purpose for presenting a positive image to employees and customers. Due to the nature of this position, a high level of confidentiality is required.

  • Provide prompt and accurate performance of administrative duties as assigned, including tasks for various departments.
  • Create and/or edit letters, contracts, file comments, forms, manuals, agendas, correspondence, spreadsheets, PowerPoint presentations, marketing pieces and training and human resources materials.
  • Create and revise forms, policies and articles on BellShare upon request.
  • Prepare letters for marketing promotions, customer notices and other mass mailing projects. Prepare and send letters for document imaging according to respective retention schedules.
  • Print or photocopy and assemble various types of documents such as proposals, reports, training materials and promotional packets.
  • Proofread documents for grammar, spelling and punctuation. Edit documents for clarity upon request.
  • Scan documents and photographs.
  • Laminate various types of documents.
  • Assist human resources with preparations for meetings and special events.
  • Assist in maintaining department SharePoint site.
  • Assist with the continuing education of the team by contributing to ongoing training during staff meetings.
  • Volunteer for at least one Bell-sponsored community event per year.
  • Know by name and face as many customers and employees as possible, calling them by name as often as possible.
  • Know and practice LOCBUTN, our Golden Rules, the Bell Bank Customer Service Standards and the APS Department Service Level Agreements.
  • Know, understand and live the company values and bottom line.
  • Conduct activities consistent with established Bell Bank policies, procedures and systems, the Bell Bank Employee Conduct policies, the Bank Secrecy Act and all applicable state and federal laws and regulations.
  • All employees are responsible for information security, including compliance with policies and standards which protect sensitive information.
  • Prompt and reliable attendance.
  • Perform other duties as assigned.
  • Advanced knowledge of grammar, spelling, editing and proofreading.
  • Excellent written and interpersonal communication skills.
  • Computer skills related to PC/printer operations and the ability to quickly learn new software systems.
  • Knowledge of Microsoft Office products including Word, Excel, PowerPoint, Outlook and SharePoint.
  • Knowledge of or ability to learn Adobe Acrobat Pro and basic functions in Signature, Nautilus and ADP.
  • Ability to handle multiple tasks, set priorities, solve problems and remain poised and flexible in a fast-paced work environment.
  • Ability to enjoy customer interaction and present a positive, professional image at all times.
