The Administrative Program Assistant I (APA I) position is designed to enhance the efficiency of the Manassas Park Department of Social Services by performing a variety of front office and program-related tasks. This role serves as the initial point of contact for visitors and callers, ensuring a welcoming environment while providing essential administrative support to various units within the department. The position involves managing confidential information, scheduling appointments, and assisting clients with inquiries about department programs and services.

  • Serve as the initial point of contact for visitors and callers, ensuring a welcoming and professional environment.
  • Provide administrative support to the Benefit Programs and Family Services Units, as well as the Director.
  • Register applications and assign cases.
  • Schedule appointments and maintain daily data to track departmental activities.
  • Manage confidential and highly sensitive information.
  • Research and relay program-related material to clients.
  • Respond to client inquiries and deliver information about department programs, services, and policies.
  • Assist with the interpretation of state documentation and upload client verification documents into the case management system.
  • Review mail and correspondences for distribution.
  • Perform other duties as assigned.
  • High school diploma.
  • Comprehensive knowledge of office and administrative practices.
  • Expertise in Microsoft Office Suite and standard office equipment.
  • Exceptional verbal and written communication skills.
  • Ability to effectively interact with diverse populations.
  • Ability to read, understand, and analyze written materials and oral instructions.
  • Strong organizational skills and ability to manage multiple tasks.
  • Emotional intelligence and interpersonal skills to foster relationships with staff, community partners, and vendors.
  • Familiarity with multi-line phone systems and basic IT troubleshooting.
  • Proficiency in basic arithmetic and ability to interpret, apply, and comply with policies, procedures, and regulations.
  • Supplemental clerical or administrative experience in a local Department of Social Services or related field.
  • Background using State applications (VaCMS, Spider, Eppic).
  • Bilingual - English/Spanish reading/speaking skills.
  • Limited telework options after probationary period based on operational needs.
