About The Position

The Administrative Operations Manager at the Texas McCombs School of Business is a pivotal role that provides comprehensive administrative and financial support to the Chair, faculty, and staff of the Accounting and MPA Programs. This position serves as the primary point of contact for business affairs for both the Department Chair of Accounting and the Director of Financial Affairs. The role is essential in ensuring operational success by coordinating workflow with the administrative support team and promoting efficient business practices within the department. The Administrative Operations Manager is responsible for delivering high-quality customer service to clients while managing various administrative processes that are critical to the department's functioning. In this role, the manager will directly supervise the administrative support team and oversee the overall workflow of department business. Responsibilities include performing and delegating administrative processes required for business operations, such as procurement needs, payments, personnel hires, facility work orders, and various reports. The manager will also supervise all operational aspects of the faculty recruiting process, including job postings, new hire documentation, onboarding, and out-processing for departing employees. Additionally, the position involves processing immigration and visa paperwork for faculty and visiting scholars, managing faculty and student worker positions, and creating job descriptions. The Administrative Operations Manager will be tasked with reviewing and completing monthly reconciliations of department cost centers against anticipated budgets, formulating and implementing internal departmental policies, and advising department leadership on relevant administrative policies. The role also includes preparing and managing the department budget, ensuring sufficient funds for necessary expenditures, and coordinating with the McCombs Academic Resource Manager to align course offerings with the instructional budget. Furthermore, the manager will handle office space allocations, equipment purchases, and compliance with university policies and procedures, acting as the primary point of contact for faculty, staff, and students regarding administrative issues.
