About The Position

Defense Holdings, Inc. (DHi) is seeking a detail-oriented and proactive Administrative Operations Coordinator to support day-to-day operational activities across departments. The ideal candidate will assist with administrative coordination, documentation management, scheduling, and operational reporting to ensure efficient internal processes. This role requires strong organizational skills, attention to detail, and the ability to support cross-functional teams in a fast-paced government contracting environment.

Requirements

  • Bachelor’s degree in Business Administration, Operations Management, or related field.
  • 3–5 years of administrative or operations coordination experience.
  • Strong organizational and time management skills.
  • Proficiency in Microsoft Office Suite including Excel and PowerPoint.
  • Excellent communication and problem-solving abilities.
  • Ability to manage multiple priorities effectively.

Nice To Haves

  • Experience supporting government contracting or defense-related organizations.
  • Experience with project management or operations tracking tools.
  • Familiarity with internal reporting and operational analytics.

Responsibilities

  • Provide administrative support to operations leadership and cross-functional teams.
  • Coordinate internal meetings, schedules, and documentation.
  • Prepare operational reports, presentations, and internal communications.
  • Maintain operational documentation and internal records.
  • Assist with maintaining process documentation and workflow tracking.
  • Support internal process improvement initiatives.
  • Coordinate activities between operations, HR, finance, and program management teams.
  • Assist with project coordination and operational logistics.
  • Ensure timely communication across departments.
  • Maintain operational trackers and reporting dashboards.
  • Generate reports for leadership review and operational planning.
  • Ensure accuracy of internal operational data and documentation.
  • Assist with maintaining documentation required for regulatory or internal compliance.
  • Support operational audits and documentation reviews.
