About The Position

This position provides administrative support to professional and technical personnel in the Office of the Public Guardian. The areas of responsibility include but are not limited to general office management, support services, procurement, and budget preparation and tracking.

Requirements

  • Possession of a Bachelors degree or higher in Accounting, Business Administration, Economics, Finance, Business Management, Computer Information Systems or related field. OR Experience in office management and collecting, compiling, analyzing and evaluating data and information.
  • Experience in creating reports and various documents.
  • Experience in financial analysis which include compiling, analyzing, and interpreting financial data to ensure effective and efficient accounting of funds or to make projections for financial planning within set policies and procedures.
  • Experience in using standard computer software programs for word processing, spreadsheets or data bases.
  • Experience in interpreting laws, rules, regulations, standard, policies, and procedures.
  • Possession of a valid driver's license.
  • Ability to communicate courteously and effectively, both verbally and in writing.
  • A satisfactory criminal background check is required as a condition of hire.
  • Direct deposit of paychecks is required as a condition of hire.

Nice To Haves

  • At least one year experience as a paralegal.

Responsibilities

  • Compiles data for budgets, prepares budget with justification, make adjustments in budget figures as a result of administrative reviews; provides information to administrative official concerning budget requests, expenditures and accounting.
  • Participates in GAAP Training and GAAP Reporting requirements for the office.
  • Performs data entry and updating in the case management database for the office.
  • Monitors and utilizes File and Serve Express, case filing and management system for the Courts, for legal case management.
  • Drafts legal documents and pleadings on the instruction of the Public Guardian, and is responsible for document drafting and edits prior to filing, as well as complying with court notice requirements, under supervision, for the office.
  • Maintains records of purchases, expenditures and account balances ensuring that expenditures are within budgetary allotments; prepares and justifies documents for transfer of funds between accounts as needed.
  • Prepares financial documents such as cash receipts, purchase orders, payment vouchers, counter signs, ascertains that funds are available, makes recommendations for approval and monitors contracts with vendors.
  • Analyzes operations such as workflow, recordkeeping and data processing, identifies problem areas, develops, revises, recommends and implements procedures/systems for improved operations.
  • Provides fiscal accounting, monitoring and reporting of grants that may include auditing of expenditures to assure compliance with applicable rules, regulations and guidelines.
  • May provide personnel support services.
  • May supervise subordinate personnel providing support in a variety of functional areas.
